The Role
The Service & Sales Administrator plays a critical role in bridging the gap between the Business Development and Service teams. This position ensures the smooth coordination of customer enquiries, service delivery, quotations, and sales support activities.
You will be a key point of contact for customers and internal stakeholders, ensuring that opportunities are captured, service work is efficiently scheduled, and commercial processes run seamlessly from start to finish.

Key Responsibilities
Sales & Business Development Support
- Provide administrative support to the Business Development Manager, including preparing quotations, proposals, and tender documents
- Log and track sales enquiries, ensuring timely follow-up and accurate pipeline management
- Maintain and update CRM systems with customer interactions, leads, and opportunities
- Assist in identifying upsell and cross-sell opportunities from existing service clients
- Support contract renewals and service agreement administration

Service Coordination
- Act as a central liaison between customers, service engineers, and internal teams
- Schedule service visits, maintenance activities, and breakdown responses efficiently
- Ensure engineers are fully briefed with job details, site requirements, and documentation
- Monitor job progress and ensure timely completion and reporting
Customer Interface
- Serve as a primary contact for incoming customer enquiries (phone/email)
- Provide professional and responsive communication, ensuring high levels of customer satisfaction
- Manage customer expectations around scheduling, quotations, and service delivery
Commercial & Administrative Responsibilities
- Prepare, issue, and follow up on quotations and service reports
- Raise purchase orders, job sheets, and invoices in line with company procedures
- Ensure accurate job costing, data entry, and record keeping
- Support month-end reporting and performance tracking

Essential
Key Skills & Experience
- Experience in an administrative, service coordination, or sales support role
- Strong organisational skills and ability to manage multiple priorities
- Excellent communication and customer service skills both verbal and written
- Proficiency with CRM systems and Microsoft Office (Excel, Word, Outlook)
- High attention to detail and accuracy
Desirable
- Experience within engineering, industrial services, or HVAC-related industries
- Familiarity with service scheduling or field service management systems
- Commercial awareness and understanding of sales processes
