What You’ll Do

As a Service Coordinator, you will manage the day-to-day coordination of resources and support services across multiple client sites, ensuring operational requirements are met efficiently and effectively. You will oversee staff scheduling, rota management, holiday and overtime administration, and arrange cover for planned and emergency absences.

Working closely with clients, agencies, freelancers, and internal teams, you will coordinate additional support requests, training activities, equipment hire, and travel arrangements. You will also maintain operational trackers, process purchasing activities, compile reports and timesheets, and provide exceptional customer service while ensuring accuracy, organization, and attention to detail in all aspects of service delivery.

Location: Farnborough (Hybrid Working) – This role is primarily based at our Farnborough office, with the flexibility to work remotely as part of a hybrid working model.

This role is a maternity cover and will be offered on a fixed term basis.

Day-To-Day Responsibilities:

  • Supporting the requirements of our clients in the management of resource (people) allocation across our client sites
  • Scheduling of internal and external staff
  • Creating weekly Rota’s for client sites and agencies.
  • Dealing with freelancers/agencies for resource allocation
  • Processing of Overtime claims from the team
  • Approving Holiday request and scheduling resource cover
  • Quotation and scheduling of client additional support requests
  • Maintain internal trackers.
  • Conduct purchasing processes – quotations, processing incoming sales orders, raising purchase orders etc.
  • Arrange equipment hire for client events.
  • Arranging project training for clients.
  • Collate weekly reports.
  • Arrange travel for the Services department.
  • Emergency absence scheduling – taking calls out of hours and arranging short notice support.
  • Uploading of any emergency absence as needed.

WHAT WE’RE LOOKING FOR

Must-Haves:

  • Strong administration skills and ability to multi-task
  • Attention to detail
  • Maturity, especially when under pressure
  • Excellent organizational skills and time management skills
  • Excellent Customer Service skills and telephone manner
  • To be a self-starter, to be able to use initiative without supervision
  • Understanding the confidential nature of HR and contractual duties
  • To be willing to take ownership and manage situations
  • Good working knowledge of Microsoft Office systems, specifically Excel (to be comfortable working with figures and formulas), Word and Outlook.
  • Understanding and experience of purchasing processes (raising purchase orders).
