Service Coordinator

Service Coordinator (Part-Time, 22.5 Hours) – Equans Digital, Leeds

Location: Leeds Contract Type: Part Time (22.5 hours)

Join Equans, a leading contractor within the Bouygues group, reshaping the future of buildings and critical infrastructure with a focus on smart, sustainable energy solutions. We’re seeking a Service Coordinator to support our Equans Digital business in Leeds, helping to deliver Building Management Systems, smart building solutions, and digital operations.


About the Role

The Service Coordinator will provide essential administrative and financial support to Service Delivery and Digital Operations Centre Teams, ensuring efficiency, adherence to budgets, and efficient service delivery across contracts. With £1.5m digital projects, we’re experiencing ambitious growth, and your role will drive sustainability through exceptional service coordination.


Primary Responsibilities

Service & Project Management

  • Maintain accurate service records and documentation, including contract visibility and compliance.
  • Ensure CAFM data integrity (facility management systems) and align records with Equans’ standards.
  • Support governance processes, Monitoring KPIs and adherence to internal and external standards (e.g. ISO/IEC 27001, SLAs).
  • Facilitate seamless stakeholder communication, linking leadership teams (SLT) with operational staff across projects.

Financial & Administrative Coordination

  • Assist in finance administration, including invoice processing, budget tracking, and cost reporting to meet compliance targets.
  • Generate timely financial reports to support decision-making and service continuity.
  • Liaise with equipment assets teams to manage stock, parts, and critical spares, including logistics planning (procurement to sales).

Workforce & Business Operations

  • Oversee travel and accommodation coordination for operational staff, adhering to company policy and budgetary constraints.
  • Contribute to project resource planning within workforce tools.

Key Requirements

Education & Qualifications

  • Minimum: A-levels (or equivalent), complemented by relevant hands-on experience at this competitive level.
  • Preferred:
    • Diploma or degree in Business Administration, Finance, Operations, or a related discipline.
    • Familiarity with standards like ISO 9001 or ISO 55000 is beneficial.

Technical Skills

  • Experience in facilities administration, particularly with Building Management Systems (BMS) or digital building contracts.
  • Proven knowledge of process optimisation methodologies (e.g., Six Sigma).
  • Skilled in financial administration: invoicing, budgeting, EFAs (Early Financial Advice), and variance reporting.
  • Hands-on experience with:
    • ERP systems: Coupa, SAP.
    • 企业级管理系统 (HMS): Maximo, Salesforce, Planon (CAFM/CRM).
    • Project and collaboration tools: Microsoft Project, SharePoint, Miro/Visio, Koot ("Smart" environmental testing apps).
  • Microsoft Office Suite proficiency, especially Excel (Advanced skills, including dashboards, macros).
  • Data-driven mindset with reporting abilities and data management expertise.
