Working as part of a team, you will ensure that all service contracts and the below responsibilities are carried out in an efficient and timely manner. At times you may also be required to provide support to other departments. This role requires a great deal of initiative and autonomy.

Responsibilities

Your role is to fulfil the list below but not limited to:

  • Service contract renewals and Software Support Agreements (plus SSAs for Ireland) & analysing the profitability various contracts
  • Determining any additions or reductions to the systems in the previous 12-18 months
  • Sourcing quotes for Third-Party Agreements, Software Support and Subscriptions
  • Preparing proposals for the new agreements
  • Invoicing the maintenance agreements: annually, bi-annually, quarterly, bi-monthly or monthly
  • Updating the invoicing schedule on AM
  • Ordering Third-Party Services sold as part of the maintenance agreements.
  • Ordering Software Support and Subscriptions
  • Reporting invoicing figures
  • Monthly maintenance forecast (for UK, Ireland & BV)
  • Adding contracts to and maintaining SAP
  • Won & lost report (for UK, Ireland & BV)
  • Logging maintenance orders on the Order Log for my quotes and those prepared by the Sales Team
  • Calculating increases to call-out rates when appropriate
  • Maintaining the customer details
  • Resolving invoice queries / raising credit notes
  • Checking the input of the service invoices onto SAP and circulating to the Team for corrections
  • Producing analysis of the monthly invoicing
  • Calibration of multi meters and battery testers: issuing and recalling equipment from the engineers and issuing replacements
  • Raising POs, dispatching the equipment to suppliers for calibration and maintaining the calibration records
  • SAP – project development and preparation for transferring services across
  • Point of contact for accounts department for all service finance queries
  • Completion of client presentations – weekly/ monthly. Presenting as required
  • Assisting with service department invoice training

Requirements

  • Proven work experience in a similar role, ideally within an Engineering environment
  • Very strong organisational skills, including multitasking, time, and diary management
  • Ability to work on their own, as well as with the wider team
  • IT literacy, particularly MS Office and CRM systems
