Overview
We are seeking a Service Delivery Coordinator who will be responsible for coordinating and overseeing the scheduling of routine maintenance works, ensuring alignment with our contractual agreements and client requirements. This role involves close coordination with clients, internal teams, and engineers to ensure seamless execution of maintenance tasks while meeting service level agreements and deadlines.

What Will You Do…
- Coordinate with clients to schedule Planned Preventative Maintenance (PPM), remedial and reactive works, ensuring alignment with their availability.
- Prepare and compile comprehensive and detailed quotes for HVAC services.
- Organise and oversee all site requirements, including access equipment, components, and necessary logistics.
- Prepare and coordinate RAMS (Risk Assessment Method Statements) for both clients and engineers, ensuring all safety and operational measures are in place.
- Allocate works to designated engineers, coordinating their schedules to meet deadlines.
- Monitor and track the progress of works to ensure completion within client KPIs, regularly updating schedules as needed.
- Following engineer attendance, manage the task status, upload all relevant reports, and process through in-house systems and client portals.
- Maintain and manage asset registers, ensuring all data is updated and accurate.
- Review completed work reports to identify discrepancies or queries and coordinate with the relevant parties to resolve them.
- Upload reports, ensuring compliance with both internal standards and client requirements within agreed KPIs.
- Raise and track purchase order requests and uplifts through internal systems and client portals.
- Upon work completion, produce and upload compliance certifications to internal systems and client portals, ensuring adherence to regulatory requirements.
- Ensure all tasks related to client portals are completed promptly to prevent delays in payments.
- Regularly review the quotation tracker and liaise with internal parties to ensure all deadlines are met and client-specific KPIs are maintained.
- Effectively prioritise and manage multiple tasks in a fast-paced environment.
- Maintain high levels of organisation.
- Take ownership of workload, demonstrating the ability to work independently and as part of a team.
- Carry out any additional duties when required.

Who Are We Looking For…
- Over two years of experience in a similar role, ideally within the HVAC/Gas industry.
- Excellent IT skills including Microsoft Excel. The ability to transition between multiple in-house systems and client portals (following training).
- Strong organisational skills with the ability to multitask and manage competing priorities.
- Proven experience in managing your own workload and adjusting priorities as needed.
- Self-motivated and able to work using own initiative, ensuring high productivity and efficiency.
- You will be a highly organised individual who can demonstrate prioritising your own workload.
- An individual with a high level of attention to detail, ensuring all information captured is accurate and up to date at all times.
- You will be able to build internal and external relationships, you will feel comfortable working within a team, but have the strength of conviction to ensure your clients requirements are prioritised.
- An ability to work to tight deadlines and quick turnaround times, ensuring all KPIs are met.
- An individual who has the ability to continuously review working practices, looking for improvements which will bring efficiencies and increase productivity.
