A Unique Opportunity: Service Delivery Coordinator
We are looking for a Service Delivery Coordinator to join our international team at our state-of-the-art Head Office in Renfrew, with exclusive access to facilities including:

The Role
The Service Delivery Coordinator ensures the seamless provisioning and operational readiness of infrastructure services across the Beeks estate. Serving as the primary interface between Sales, Engineering, Procurement, Finance, and customers, this role is responsible for managing the end-to-end service order lifecycle, from initial order intake to validated customer handover.
This position is instrumental in protecting critical revenue recognition timelines and ensuring customer satisfaction. Key tasks include:
- Proactively identifying delivery risks.
- Maintaining accurate asset and capacity data.
- Coordinating people, processes, and tooling to deliver consistently at pace across multiple workstreams.
Key Responsibilities
Service Order & Deployment Management
- Own the end-to-end lifecycle of Retail Service Orders (SOs) to ensure all operational steps are executed accurately, on schedule, and in line with agreed processes.
- Work directly with customers to clarify requirements, delivery timelines, and acceptance criteria prior to deployment.
- Issue installation tickets with technical Statements of Work (SOW) to Smart Hands and Data Centre teams to ensure readiness.
- Collaborate with Service Delivery Engineers to coordinate hardware installation, upgrades, and configuration for smooth customer handover.
- Conduct post-deployment validation checks and ensure services are delivered as specified before marking orders complete.
- Resolve incidents related to deployments and liaise with the Network Operations Centre (NOC) and Engineering for clean transition to operational support.

Infrastructure Capacity & Estate Management
- Maintain accurate, real-time capacity data across the Beeks estate and identify trends or threshold breaches proactively.
- Conduct forward-looking capacity forecasting based on sales pipelines, flagging constraints in timely manner to Head of Projects and Sales.
- Provide data-driven recommendations for estate expansion or optimisation with supporting utilisation reports.
- Arrange monthly cancelation reviews with the NOC to ensure efficient capacity management and accurate records.
Procurement & Hardware Coordination
- Translate deployment requirements into hardware procurement requests, including quantities, deadlines, and delivery details for the Procurement team.
- Verify inbound shipments against purchase orders and escalate discrepancies affecting installation timelines.
- Support hardware demand forecasting by sharing pipeline visibility with Procurement in advance of confirmed orders.
- Coordinate data centre installation schedules and ensure site readiness before hardware arrival.
Licensing & Asset Management
- Request, track, and manage software/licensing required for customer services and ensure keys/configuration details are recorded in relevant tickets.
- Monitor licence renewals and initiate timely renewal processes to prevent service risks.
- Maintain complete and audit-ready asset records in systems like Asset Management Platforms (Nautobot), ensuring prompt, accurate updates.
Stakeholder & Customer Engagement
- Act as the primary liaison between Sales and Service Delivery during deployment, providing proactive status updates.
- Inform Sales, Finance, and senior stakeholders of risks to revenue recognition or commitments with ample notice.
- Interface with customers to resolve requirements or delivery ambiguities, representing Beeks professionally.
- Facilate regular service review touchpoints to maintain a single source of truth on order status.
Financial & Commercial Coordination
- Notify Finance upon deployment completion to enable timely billing and validate service orders before submission.
- Monitor and track deployment spend in collaboration with Finance, flagging budget variations or scope changes that impact profitability.
- Ensure operational processes support accurate revenue recognition, avoiding billing delays.

Continuous Improvement & Process Development
- Identify and propose operational bottlenecks or failure patterns, focusing on measurable process improvements.
- Develop and maintain runbooks, playbooks, and operational procedures.
- Advise on automation initiatives to streamline provisioning workflows, ticket management, and reporting.
- Share cross-functional knowledge to enhance team continuity and delivery standards.
Skills & Experience
Technical Knowledge
- Strong grasp of IT infrastructure, hardware provisioning, and data centre operations.
- Experience with network and server provisioning and configuration cycles.
- Familiarity with asset management platforms and documentation tools (experience with Nautobot advantageous).
- Understanding of change management principles and ITIL service delivery practices.
- Knowledge of software licensing models and procurement coordination.
Professional Skills
- Excellent written/verbal communication and customer-facing documentation.
- High attention to detail, organisational skills, and ability to manage multiple priorities simultaneously.
- Commercially aware, recognising the impact of operational decisions on billing, revenue recognition, and customer satisfaction.
- Proactive risk identification to mitigate business impact early.
- Resilient, calm under pressure, and capable of managing fast-paced, deadline-driven environments.
Tools & Systems
- Proficiency in ticketing platforms (e.g., JIRA) and ITSM systems.
- Experience with asset/infrastructure inventory systems (e.g., Asset, Nautobot).
- Competent in Microsoft Office Suite, particularly Excel for reporting and tracking.
- Experience with procurement/ERP systems considered advantageous.
Qualifications & Certifications
- ITIL Foundation Certification (desirable — training supported).
- Degree in IT, Business or related field (or equivalent practical experience).
- Certifications in project coordination/service management (e.g., PRINCE2 Foundation, CompTIA Project+) advantageous.
