We have a fantastic opportunity for a Service Delivery Coordinator to join us at our unique Head Office in Renfrew which includes our state-of-the-art gym with weekly circuit training, a personal trainer and yoga classes as well as the Beeks Bar or weekly masseuse to help you unwind!
The Role The Service Delivery Coordinator ensures the seamless provisioning and operational readiness of infrastructure services across the Beeks estate. Acting as the primary operational interface between Sales, Engineering, Procurement, Finance, and customers, the role is accountable for end-to-end service order management, from initial order intake through to validated customer handover.
The role provides critical protection of revenue recognition timelines and customer satisfaction by proactively identifying delivery risks, maintaining accurate asset and capacity data, and coordinating the people, processes, and tooling needed to deliver consistently at pace across multiple concurrent workstreams.
Key Responsibilities:
Service Order & Deployment Management Own the end-to-end lifecycle of Retail Service Orders (SOs), ensuring all operational steps are executed accurately, on schedule, and in line with agreed process. Engage directly with customers to confirm requirements, delivery timelines, and acceptance criteria prior to deployment commencement. Raise installation tickets inclusive of a technical Statement of Work (SOW) with Smart Hands or Data Centre teams as required, ensuring pre-deployment readiness checks are completed before work commences. Coordinate hardware installation, upgrades, and environment configuration, collaborating with Service Delivery Engineers to prepare for customer handover. Conduct and document post-deployment validation checks; ensure services are confirmed as delivered to specification before marking orders complete. Support incident coordination where deployment-related issues impact customer environments; liaise with NOC and Engineering to ensure clean transition into operational support.
Infrastructure Capacity & Estate Management Maintain accurate, real-time capacity data across the Beeks estate; track utilisation trends and escalate threshold breaches proactively. Perform forward-looking capacity forecasting based on the live sales pipeline, flagging constraints to the Head of Projects and Sales with adequate lead time. Provide data-driven recommendations for estate expansion or optimisation, supported by utilisation reporting. Coordinate monthly cancellations with the NOC to ensure efficient capacity management and accurate estate records.

Procurement & Hardware Coordination Translate upcoming deployment requirements into hardware procurement requests, specifying quantities, deadlines, and delivery addresses for the Procurement team. Quality-check inbound shipments against purchase orders; escalate discrepancies or delivery failures that risk installation timelines. Contribute to hardware demand forecasting by sharing pipeline visibility with Procurement in advance of confirmed orders. Coordinate data centre installation schedules and confirm infrastructure readiness prior to hardware arrival on-site.
Licensing & Asset Management Request, track, and manage software and platform licensing required to support customer services; ensure licence keys and configuration details are recorded within the relevant installation ticket. Monitor licence renewals and initiate renewal processes with sufficient lead time to prevent service risk. Maintain complete and audit-ready asset records in asset management platforms (including Asset and Nautobot), ensuring all deployment and configuration data is populated promptly and accurately.
Stakeholder & Customer Engagement Act as the primary operational liaison between Sales and Service Delivery throughout the provisioning lifecycle, providing proactive status updates. Ensure Sales, Finance, and senior stakeholders are informed of any risks to revenue recognition, delivery timelines, or customer commitments with sufficient notice to enable remediation. Engage customers directly where clarification of requirements or delivery expectations is needed; represent Beeks professionally in all communications. Facilitate regular service review touchpoints during active deployments, maintaining a single source of truth on order status.
Financial & Commercial Coordination Notify Finance upon deployment completion to enable timely and accurate billing; validate billing details against the service order before submission. Maintain deployment spend trackers in collaboration with Finance; flag budget variances or scope changes that affect deployment profitability. Ensure operational processes consistently support accurate revenue recognition and avoid billing delays.

Continuous Improvement & Process Development Identify recurring operational bottlenecks or failure patterns and propose process improvements with measurable outcomes. Contribute to the development and maintenance of runbooks, playbooks, and operational procedure documentation. Support automation initiatives that streamline provisioning workflows, ticket management, or reporting. Share cross-functional knowledge to maintain operational continuity and support consistent delivery standards across the team.
Skills & Experience:
Technical Knowledge Solid understanding of IT infrastructure concepts, hardware provisioning, and data centre operations. Familiarity with network and server infrastructure environments, including the provisioning and configuration lifecycle. Working knowledge of asset management platforms and infrastructure documentation tooling (experience with Nautobot advantageous). Understanding of change management principles and ITIL-aligned service delivery practices. Awareness of software licensing models and procurement coordination processes.
Professional Skills Excellent written and verbal communication skills; able to produce clear, professional customer-facing documentation. High attention to detail and strong organisational skills; capable of managing multiple concurrent priorities without losing accuracy. Commercially aware, with an understanding of how operational delivery decisions affect billing, revenue recognition, and customer satisfaction. Proactive risk identification — surfaces issues early and communicates them in context of business impact. Resilient and calm under pressure in a fast-paced, deadline-driven operational environment.
Tools & Systems Proficiency in ticketing and ITSM platforms (e.g. JIRA). Experience with asset management or infrastructure inventory systems. Competent in Microsoft Office Suite, particularly Excel for reporting and tracking purposes. Familiarity with procurement or ERP systems advantageous.
Qualifications & Certifications ITIL Foundation certification (desirable; training supported where not already held). Degree in Information Technology, Business, or a related field (or equivalent practical experience). Project coordination or service management certification advantageous (e.g. PRINCE2 Foundation, CompTIA Project+).
