Service & PPM Coordinator
Salary: £30,000 per annum
Contract & Hours:
- Permanent, full-time
- Mon–Thu: 8.30am–5.00pm
- Fri: 8.30am–4.30pm (39.5 hours/week)
Location: Hybrid or office-based in Wellingborough, Northamptonshire

The Opportunity
This hands-on specialist role bridges two key areas vital to Arolite’s success:
- Repairs sourcing & quotations
- Planned Preventive Maintenance (PPM) coordination
Responsibilities revolve around:
- Technical expertise: Interpreting engineer reports to produce precise repair quotes.
- Ownership of PPM scheduling & administration for diverse clients and sites.
- Direct impact on reliability—everything you produce is relied upon
Key Challenges:
- High call volume with fluctuating workloads
- Each contract varies sharply, requiring flexibility
- Multitasking demands with non-repetitive workflows

What the Role Involves
Quotations & Parts
- Review engineer worksheets, photos, and notes to generate accurate, professional repair quotations
- Source and price spare parts, comparing suppliers to optimise value, availability, and delivery times
- Process parts orders and liaise with suppliers to track delivery progress
PPM Coordination
- Schedule and manage PPM programmes end-to-end, ensuring timely visits, proper resourcing, and contract compliance
- Maintain PPM documentation, asset data, and compliance records with absolute accuracy
- Produce and circulate PPM reports for clients and internal review; proactively follow up on pending actions/visits
Service Coordination & Administration
- Keep service management systems updated with timely job, asset, and contract details
- Support client communication, delivering updates without delay
- Foster alignment with engineers, suppliers, and team colleagues to streamline jobs and maintain client transparency
What You Will Bring
Essential Requirements:
- Demonstrable experience preparing repair quotes or sourcing and ordering spare parts specific to commercial catering equipment (mandatory)
- Deep knowledge of such equipment to interpret engineer reports and diagnose parts rapidly
- Coordinates planned maintenance schedules—experience in a field service or facilities environment preferred
- Clear communication skills—confident in liaising with engineers and suppliers to clarify technical or pricing queries
- High tolerance for fast-paced multitasking, precision under pressure, and rapid adaptation (no schedule follows the same rhythm)
- Pride in precision—minimal error rate, non-negotiable trust in your quotations and records
- Written & verbal full proficiency
- Organisational discipline—proactive follow-ups, ironclad time management
- Technical set-up: Proficient in Office 365 and familiar with service management/field service systems
