About the Role
The Service Support Administrator is responsible for supporting the operational effectiveness of the Service function through coordination of Environment, Health & Safety (EHS) activities and service inventory management. This role ensures compliance with EHS standards, accuracy of inventory processes, and effective administrative support to enable Field Service Engineers (FSEs) and Service Managers to deliver high-quality, safe, and efficient customer service.
Key Responsibilities
EHS Coordination
- Act as a central coordinator for EHS-related activities across the Service organisation
- Maintain and track EHS documentation (e.g. RAMS, risk assessments, training records)
- Support compliance with internal policies and external regulations
- Coordinate EHS audits, inspections, and follow-up actions
- Track and report EHS metrics, incidents, and corrective actions
- Liaise with EHS teams and external bodies where required
- Support rollout of EHS initiatives, training, and communications

Inventory Management (Service Parts & FSE Stock)
- Maintain accurate inventory data across systems (ERP / CRM / Salesforce)
- Support Min/Max stock level management and monitor stock availability
- Coordinate parts ordering, replenishment, and stock transfers
- Track usage trends and support reporting on consumption and stock accuracy
- Work closely with FSEs to ensure correct stock levels aligned to install base and service demand
- Support stock audits and continuous improvement of inventory processes
Service Operations Support
- Provide administrative support to Service teams, including job tracking, documentation, and reporting
- Act as a point of contact for service-related queries and internal coordination
- Ensure service records, customer documentation, and system data are accurate and up to date
- Support invoicing, job closure, and service process compliance
- Work closely with Service Managers and engineers to ensure smooth workflow progression
Key Skills & Experience
- Proven experience in an administrative or service support role
- Working knowledge of EHS requirements and compliance frameworks
- Experience with inventory or stock management processes
- Strong attention to detail and organisational skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficient in ERP/CRM systems and Microsoft Excel
- Strong communication and coordination skills
