Service Support Manager - Haematology

Haematology Administrative Lead

Working in partnership with the Directorate Management Team, the post holder will be accountable for providing comprehensive administrative and service coordination to ensure the smooth and efficient delivery of haematology services across University Hospitals of Northamptonshire (UHN) on a day-to-day basis.

About the Role

The post holder will support the Directorship in achieving key performance, quality, and financial targets. This includes delivering and developing haematology services, consistent with Division and Directorate plans. Specifically, the Administrative Lead is expected to:

  • Take a proactive leadership role in administrating processes
  • Identify inefficiencies, implement improvements, and foster robust governance throughout the haematology service

This role mandates autonomous working skills, integrating initiative to:

  • Resolve intricate issues
  • Make informed decisions in high-stakes scenarios
  • Maintain service continuity without routine supervision

Role Responsibilities

Operational Leadership & Team Management

  • Provide day-to-day operational leadership for the haematology administration team, ensuring seamless, high-quality, and efficient service delivery
  • Line-manage administrative staff, including:
    • Performance management
    • Recruitment
    • Training and development
    • Appraisal completion
    • Ensuring mandatory training compliance
  • Provide cross-cover during periods of staff absence across the administrative team, and at times, other Directorates, typically between 08:00 and 17:00, subject to occasional flexibility based on local service needs

Governance & Supportive Activities

  • Lead and oversee administrative processes, emphasizing:
    • Robust governance
    • High data quality
    • Trust system accuracy
  • Monitor and manage performance, daily or as necessary:
    • PTL validation
    • Clinic utilisation
    • Unappointed lists
    • National performance targets, including RTT compliance
  • Ensure adherence to national and Trust performance targets by:
    • Conducting audits
    • Validating reports
    • Analysing breaches

Service Improvement & Stakeholder Support

  • Lead and support service improvement projects, actively identifying operational inefficiencies and charting improvements to:
    • Enhance the patient experience
    • Streamline service delivery
  • Perform as a senior operational support resource:
    • Acting as a key point of contact
    • Resolving issues
    • Escalating as necessary for staff, clinicians, patients, and external stakeholders

Risk Management & Financial Responsibilities

  • Produce and present weekly capacity vs demand reports, highlighting:
    • Risks
    • Mitigation strategies to senior management
  • Manage budgets while adhering to Trust financial governance:
    • Monitor expenditures
    • Minimize use of bank/agency workforce through structured workforce planning

Requirements & Working Conditions

  • Excellent organisational, interpersonal, and communication skills, including grâce handling, sensitivity to diverse stakeholders, and the capacity to navigate a fast-paced, pressured environment
  • Ability to work autonomously with initiative, ensuring decision-making aligns with established protocols and service demands
  • Availability to provide cross-site support when required for project demands and delivery
