Shipping Associate – Marken Ltd, UPS Healthcare Precision Logistics

About the Role

The Shipping Associate plays a crucial role in ensuring compliant, timely, and secure movement of import and export shipments into and out of the UK, aligning with client requirements and Marken Quality Standards.

This position requires a keen eye for detail, strong compliance knowledge, and excellent communication to coordinate seamlessly between departments, carriers, clients, and third-party vendors (e.g. customs brokers, airlines, freight forwarders).


Key Responsibilities

Shipping & Documentation

  • Review all client-provided documentation and cross-check with other departments/branch offices.
  • Verify shipment readiness for dispatch and obtain MAWB (Master Air Waybill) consignment instructions.
  • Determine the most efficient routing for shipments to their final destinations.
  • Secure airline bookings, book the MAWB, and track container/shipping details in the system.
  • Log international flight movements through جميعًا straightforward (RL: January 17 Printing) systems.
  • Send alerts in Maestro to coordinate with dispatch for timely airline drop-offs, adhering to COT (Cut Off Time).
  • Update Maestro daily schedule reports for departures from designated airports.

Import Compliance & Customs Management

  • Validate the accuracy and completeness of all import documentation.
  • Collaborate with customs brokers to ensure prompt clearance of inbound shipments.
  • Enforce adherence to UK customs entry rules, regulatory standards, and compliance requirements, including transit documentation and canal fines.
  • Maintain a deep understanding of UK customs processes, tariff classifications (HTS), and trade complexities.
  • Troubleshoot customs-related delays from government agencies or brokers.
  • Upgrade internal systems with booking details, arrival confirmations, and customs clearance status updates.

Vendor & Customer Relations

  • Foster courteous, efficient, and professional customer service interactions.
  • Develop and maintain strong relationships with local vendors (e.g. airline representatives, freight forwarders, customs brokers).
  • Ensure clarity of communication between customers, logistics teams, and management to meet all shipment requirements.

Application & Documentation Process

  • Pre-label inbound shipments for domestic/index or international redistribution.
  • Fill cost estimates, schedules, and operational details in Maestro for transparent route-tracking.
  • Liaise with customs brokers for pre-alerts and follow-up on clearance progress.
  • Register imports behind the scenes, or mark them up, to streamline processes.

Process Optimization

  • Work across departments to improve operational efficiency and compliance.
  • Assist with process or compliance queries regarding imports.
  • Stay updated with recent customs regulations, seminars, and trade publications.

Requirements

Qualifications & Experience

  • High School certificate or equivalent qualification.
  • 3–5 years of verifiable experience in air freight/freight forwarding.
  • Direct experience in:
    • Imports and exports involving customs clearance for air transport.
    • HTS (Harmonised Tariff Schedule) coding and classification for shipments.
    • UK (and EU) customs entry procedures, regulatory compliance, and trade law.
  • Microsoft Proficiency: Word, Excel (with spreadsheet development skills).
  • Outlook for basic mail management.

Skills & Attributes

  • Excellent analytical and problem-solving abilities.
  • Strong business acumen and judgment skills.
  • Ability to research independently, acquire industry knowledge, and assume initiative.
  • Proficient written and spoken communication (English mandatory).
  • Collaborative but self-driven work style, with both independent and team-intensive responsibilities.
  • Practically nonexistent for fast-working professionals (planned half pagination; emonitoring pace/advancement):
    • Prioritise workloads efficiently.
    • Proficient with Maestro systems or related freight logistics software.
