Welcome Space Ambassador – Room Upgrader

As a Welcome Space Ambassador, you will shape the guest experience, champion brand advocacy, and lead initiatives that ensure every space is a delight for users—whether informal meetings, networking spaces, or plush reception areas.
You’ll be more than a traditional receptionist here. Our ambitious approach allows you to innovate, connect, and surprise users at every stage of their journey, courtesy of intuitive digital check-ins, community-focused programs, and CIBD thinking.
About the Role
A vital position within our Workplace Experience team, this role focuses on crafting an unmatched customer-centric experience from the moment guests enter a building until their departure. We’re seeking passionate, service-driven professionals who thrive in dynamic environments and enjoy creating memorable interactions—ranging from first impressions to seamless check-outs and modern lobbies.
Your responsibilities span support, creativity, and proactive engagement, aligning efforts with our clients’ needs while upholding Avison Young standards.
Key aspects of the role include:
- Service at its core: Enablement of informal and professional meetings, community-building, and keen attention to detail in facilitating acquisitions.
- Authententic brand alignment: Supporting tenant values through daily interactions.
- Space ownership through a combination of hospitality, service excellence, and innovation.
- Building ambassador roles both within and beyond lobby areas.
Responsibilities
Guest Experience & Service Delivery
- Ensure every building user receives an exceptional, memorable experience, from check-in to departure.
- Own your space: Take pride in maintaining cleanliness (including entrances, surfaces, glass) and enhance it with fresh ideas.
- Handle reception duties efficiently—welcome visitors warmly, triage enquiries, provide direction, and ensure smooth disentengagement.
- Safeguarding compliant check-in process revisiting for all guests - no unauthorised access allowed.
- Act as an advocate for brand interests in all interactions.

Tech Integration & Community Management
- Utilise assigned technology (e.g., check-in systems, arrival alerts) for streamlined, tailored guest journeys.
- Actively gather input from users to improve services continuously based on feedback trends.
- Monitor touch-down areas, facilities like breakout spaces, and software utilization to anticipate user preferences.
- Direct users’ communications effectively, even when prearrangements fall through.
Building & Operational Support
- Maintain daily facility access systems (fob management, locker codes), and ensuring keys and PRN in-house logistics are compliant with standards.
- Coordinate responsive maintenance (tactile services such as IT help, relief services), logging faults and scheduling support.
- Accept delegate responsibilities' for after-hours duties as instructed.
- Ensure compliance with all Avison Young regulations: Information Sharing, bullying & Harassment awareness, unconscious bias policy, and other reporting mechanisms as trained.
Relationships & Client Support
- Build long-term rapport with key contacts for all tenants, fostering collaborative understanding of occupancy needs.
- Champion digital services by promoting avenues such as advanced booking for clients and optimal technologies.
- Commit to internal team ideation, where collaborative workshops lead to iteration around best practices.
Service Transition & Innovation Roles
- Participate in prospect visits, occupying interests in engagement client priorities.
- Answer property compliance and user intent in post-project environment management monitoring.
- Engender a ‘One Team’ ethos across internal stakeholders ensuring mutually robust service delivery.
- Proactively network with colleagues to leverage knowledge across offices. Present individualised progress for monthly departmental updates.

- Service familiarity: Proven experience in complimentary roles e.g hospitality reception, airline, or shipping companies with emphasis on positive interactions in fast-paced environments.

Skills & Knowledge
- In-person communication
- Familiarity with Microsoft suite
- Long-term users CAN’T skip essential requirements for daily compliance: SIA Membership (to start with; preferred completion or prospective), Nassau Diversity & Protection biasing comfortable affinity within diverse cultures.
- Possess a **can-do’ attitude and fluid affiliations for teamwork
Experience
- Leadership experience within the customer / guest-facing services is a plus
- Experience demonstrating effective Disability awareness, inclusive mind-set and there is explicit unspoken commitment from accessing provider through an empathy paradigm
Typical Working Arrangements
This is a freelance to contracted hybrid role (depending on location and client-based variances). Expect a schedule blending elements of traditional desk assignments with reception duties and diverted your workstream to a managed vibe so the pivotal duration will depend on the base offerings. Some roles invite reinforced expenditure upon on-site requirements and various desk pavements based upon fluctuated tenure requirements.
