Site Administrator
Site Administrator – London

# Responsibilities
Timesheet Management
- Ensure all timesheets for the assigned site are accurately & efficiently updated and issued on time for SAP input
- Review and validate the accuracy of direct employees’ and staff timesheets compared to available records
- Collect subcontractor hours and upload time/manpower details via File Key for monthly SAP uploads
- Submit Regional Stats to the EHS Senior Safety Officer at the end of each month
- Generate End-of-Month Sub-Contractor Report and upload contractor details to SAP
Travel Management
- Timely booking of flights & hotels for all site staff
- Maintain site flight register and administrate records
- Manage & update staff rotation tracker for logistics planning
- Act as the primary point of contact for travel inquiries

Vehicle Management
- Maintain Vehicle Register for assigned fleet
- Oversee Driving Applications, License management, car hire requests, and handle car fines
Accommodation Management
- Handle UK site staff apartment queries in collaboration with the UK Accommodation Supervisor
Staff Allowance & Expenses
- Track site personnel movements to ensure accurate Subsistence Reports for payroll submission
- Request, monitor, approve and process employee expenses
- Collect, maintain, and file employee documents (e.g., passports, A1 forms, EHIC) via File Key
Office & Administrative Support
- Maintain stationery levels and ensure office stock is sufficient
- Prepare and preempt meeting room arrangements, including catering (if required)
- Take minutes of meetings where requested
- Serve as the primary liaison between Head Office and site staff, facilitating queries/requests while ensuring timely responses
- Provide general office support (typing, printing, mail, project admin)
- Perform hourly, office duties as required
- Support Project Manager or peers during absences (holiday/illness)
- Assist Document Controller or maintain digitised filing systems as needed
- Handle and prepare delivery dockets/manuals (Operations & Maintenance documentation, tracking filings)
- Monitor and report on compliance with File Key structures and systems updates

# Requirements

Essential Criteria for the Role:
- At least 2 years of strong administrative experience
- Proficiency in Microsoft Word, Excel & Outlook plus basic PC literacy
- Ability to manage site paperwork, maintain schedules/records, and handle office organization
- Strong telephone etiquette and ability to communicate effectively
- Attention to detail and ability to work under pressure
- Multitasking skills with excellent interpersonal and organizational abilities
- Demonstrable pride in quality and presentation of work
- Exceptional communication skills

Nice-to-Have (but not mandatory):
- Previous experience in construction or engineering
- Basic knowledge of SAP (training provided in most cases)
