Site Administrator
Job Description
The Role
As a Site Administrator at NEXT, you will be the absolute heartbeat of our Regional Service Centre’s daily operations, providing indispensable administrative support directly to the Site Manager. Working Monday - Friday, 8:30am - 5:00pm and demonstrating exceptional flexibility, you will make a tangible difference every day by keeping our workplace seamless, welcoming, and exceptionally organised—acting as the central bridge between operations, on-site personnel, and external partners.
From the moment you start, NEXT will ensure you are fully set up for success, providing comprehensive onboarding, dedicated system training, and a supportive network of regional administrators to help you settle confidently into your new position.
What You'll Take On
- Manage site communication by screening telephone calls, sorting daily correspondence, and proactively handling the Site Manager's diary to ensure they are fully prepared for all upcoming events.
- Drive financial control across the department by accurately logging expenditure, checking and coding invoices on the day of receipt, managing credit card expenses, and raising Purchase Orders in collaboration with support teams.
- Support employee welfare by facilitating Nest weekly meetings, preparing welcoming starter packs, addressing staff queries regarding pay or holidays, and proudly acting as an on-site Safeguarding Ambassador.
- Coordinate site meetings from scheduling through to capturing and issuing highly accurate minutes within a 48-hour turnaround for key Health & Safety, Comms, and GPTW groups.
- Oversee facility operations by acting as the main contact for our cleaning contractors, logging maintenance requests, managing staff lockers, maintaining fire registers, and tracking weekly driver hours and stats.
- Handle procurement and supplies including auditing and ordering PPE, staff uniforms, stationary, and essential site consumables, alongside managing incoming staff parcels.
