Facilities Manager (Senior) – Job Description
About the Role
This critical position oversees management, planning, and coordination of all physical and environmental conditions across properties. You’ll report directly to the Senior Facilities Manager and play a pivotal role in delivering exceptional service, operational excellence, and compliance.

Key Responsibilities
Facilities Management & Operations
- Ensure all building services align with lease provisions (as directed by the Management Surveyor).
- Prepare, monitor, and reconcile service charge budgets according to the RICS Code of Practice.
- Engage actively with occupiers, updating contacts for key holders, fire safety officers, and tenant behind-the-scenes.
- Deliver outstanding customer service, ensuring smooth operations for occupants and clients.
- Conduct plat inspections (including corridors, fire escape routes, roofs, and car parks); document issues, track progress, and implement actions swiftly.
- Proactively manage tenant fault reporting, resolving day-to-day concerns efficiently.
Contract Management
- Attend supplier review meetings, overseeing contract performance (reviewing SLAs, KPIs, site records, method statements etc.).
- Benchmark cost-value of existing contracts, recommending enhancements.
Compliance & Health & Safety
- Maintain up-to-date records for all required consultations (e.g. asbestos registries, fire risk assessments, legionella and water hygiene documentation).
- Rotate manual testing of fire alarm/sprinkler systems and emergency lights to enforce compliance.
- Promote regular reviews of hazard assessments, on-site logbooks, and maintenance records.
Environmental Responsibilities
- Analyze energy/water usage alongside consultants to reduce consumption and champion sustainable practices.
- Conduct regular property audits, proposing improvements to energy efficiency, security, and sustainability—aligned with the AY WEM Environmental Policy.
Budget & Financial Control
- Review and approve 10-year service charge plans on plant/structure; prioritize upgrades/modifications in coordination with Head of Facilities Management.
- Monitor spending, adhering to approved budgets, and reporting to financial managers 14+ weeks prior to year-end.

Miscellaneous
- Perform ad-hoc duties including supporting other properties or industry tasks.
- Lead collaboration with Team Front of House on operational policies and quality standards.
Requirements
Key Skills
- Proven experience managing complex service charge budgets.
- Strong leadership and communication skills.
- Technical aptitude (not necessarily a background) with an interest in facilities and property systems.
- Administrative organisation and detail-oriented approach.
- Esteemed track record in streamlining service teams to deliver 5-star client outcomes.
Qualifications
- The NEBOSH General Certificate or IOSH accreditation.
