Facilities Manager
About the Role
Our global commercial real estate advisory firm is seeking a Facilities Manager to oversee the physical and environmental conditions within properties, ensuring long-lasting operational excellence and vibrant building management. Located in a small Canadian-born business now operating 120+ locations worldwide, we aim to transform real estate into a force for sustainability, efficiency, and community impact.

As a Facilities Manager, you’ll be responsible for end-to-end property maintenance, sustainability initiatives, regulatory compliance, and tenant relations, under the guidance of the Senior Facilities Manager and in alignment with our ** RICS compliance standards**.
Responsibilities
General Management & Client Relations
- Ensure full, effective building operation per lease terms and Management Surveyor directives.
- Prepare, monitor, and reconcile service charge budgets in line with RICS Code of Practice.
- Maintain detailed tenant communications, including updated contact lists, keyholder records, and fire safety responsibilities.
- Deliver superior customer service to occupiers and clients, fostering positive relationships.
- Regularly inspect common areas (corridors, fire escapes, plant rooms, roofs, etc.) and record/build actions to resolve issues.
- Proactively manage tenant fault reporting and routine maintenance requests.
- Oversee the Avison Young Service Desk to ensure all service providers meet SLAs & KPIs—monitoring interaction, resolution, and closure.

Contract Management
- Attend supplier performance reviews and inspect contract compliance, records, and method statements.
- Monitor contract performance, costs, and value via SLAs and KPIs.
- Support Senior Facilities Manager in benchmarking contract suitability and questioning value for money.
- Assist with quoting budgets and contract renewals in line with internal reporting timelines.
Health & Safety Compliance
- Maintain current safety documentation, including:
- Annual Health & Safety Risk Assessments
- Updated Asbestos Management Plans
- Fire Risk Assessments & Audits
- Legionella Assessments
- Site Logbooks (Fire Safety, PTW, Mechanical/Electrical Records, GAS/ELECTRIC Electrical Compliance, Water Hygiene & Cleaning Reports)
- Implement weekly compliance checks (fire alarms, emergency lights, sprinkler valves, fire evacuation drills).
- Ensure all legal obligations are met for both Landlord & tenant areas.
Sustainability & Energy
- Monitor energy & water consumption and drive sustainable operational practices.
- Conduct audits to identify and implement efficient energy-saving measures, security upgrades, and refurbishment projects.
- Advise on budget planning for energy expenditure and coordinate with the Head of Facilities Management.
Budgeting & Cost Control
- Work with external advisors to deliver 10-year budget projections for service charge expenditure.
- Approve annual spending (within authorized limits) on building services and monitor adherence to service charge budgets.
- Support budget preparation for upcoming years (due 14 weeks before year-end) to ensure financial accountability.
Collaborations & Additional Support
- Assist Senior Facilities Manager with Wayleave Agreements & Licence to Alter requests.
- Provide expertise at client meetings and contribute to formal written reports.
- Participate in team knowledge-sharing sessions to support the AY WEM Facilities Management team.
- Provide short-term cover for other client buildings as required.

Qualifications & Requirements
Key Skills & Experience
- Proven expertise in managing complex service charge budgets.
- Exceptional communication and leadership abilities.
- Strong IT proficiency for accurate record-keeping and reporting.
- Experience in Property & Facilities Management for mixed-use property portfolios.
- As strong organisational & administrative skills—multi-tasking and prioritization are essential.
- Proven track record in service partner management to deliver 5-star client service levels.
- Technical aptitude (programming knowledge is beneficial, but adaptability is key).
Preferred Qualifications
- NEBOSH General Certificate or IOSH certification (Health & Safety focus).
