Document Controller

Job Purpose

The Document Controller is responsible for managing and maintaining all project documentation for the HVDC project, ensuring accuracy, compliance, and traceability in line with project and client requirements. The role supports engineering, construction, and commissioning teams by ensuring controlled distribution, version management, and secure storage of all project documents.


Key Responsibilities

  • Manage and maintain all HVDC project documentation, including drawings, specifications, procedures, and reports
  • Ensure all documents are registered, tracked, and stored within the EDMS (ACC / Forma)
  • Maintain document registers, transmittals, and revision histories
  • Control document numbering and naming in line with project standards
  • Ensure only the latest approved documents are made available to project teams
  • Distribute documents to internal teams, subcontractors, and client representatives
  • Coordinate document submissions and approvals with engineering and client teams
  • Support quality assurance and audit processes by providing document traceability
  • Archive project documentation in accordance with contractual and company requirements
  • Assist in handover documentation and final project close-out
  • Liaise with multiple disciplines (civil, electrical, commissioning) across HVDC scope

Skills & Competencies

  • Strong organisational and document management skills
  • High attention to detail and accuracy
  • Knowledge of document control processes within major infrastructure or HVDC projects
  • Proficiency in EDMS platforms (Aconex, SharePoint, ProjectWise)
  • Good communication and stakeholder coordination skills
  • Ability to work under pressure and meet deadlines
  • Understanding of engineering drawings and technical documentation
  • Ability to manage high volumes of documentation

  • Previous experience as a Document Controller within construction, power, or HVDC projects
  • Familiarity with National Grid or similar client documentation requirements (desirable)
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Understanding of quality standards (ISO 9001)
  • Relevant qualification in business administration or engineering support (desirable)

Working Conditions

  • Site-based and/or office-based role, depending on project phase
  • Interaction with multidisciplinary teams across engineering and construction
  • May require working to strict project deadlines

Key Performance Indicators (KPIs)

  • Accuracy and completeness of document registers
  • Timely distribution and turnaround of documents
  • Compliance with project and client document control standards
  • Efficiency of document retrieval and audit support
  • Success in project handover documentation

Desirable

  • Previous experience in using Autodesk
