SSAS Administrator
North London / Finchley / Hybrid
£28,000 plus benefits
A multi-office, award-winning wealth management firm currently requires an experienced SSAS Administrator to join its friendly and vibrant team, on a hybrid basis, being based in the office in North London 3 days per week.
SSAS Administrator Job Description
A SSAS Administrator is required to carry out the day-to-day administration of the Small Self-administered Schemes managed by the company. This comprises of:
Onboarding New SSAS Applications
- Collating data from new application forms and drafting scheme documentation
- Registering the Scheme Administrator and SSAS with HMRC online
- Setting up the SSAS bank account
- Monitoring the SSAS application and dealing with any arising queries
- Setting up the SSAS with The Pensions Regulator
- Setting up the SSAS with the ICO
- Assisting with the transfer in of a client’s existing pensions
Onboarding SSAS Takeovers
- Obtaining the existing SSAS records from the outgoing administrator
- Analysing and drawing up a deed of removal, to remove any corporate trustee
- Dealing with any changes required to the Scheme Administrator
- Removing the outgoing administrator from the SSAS bank account
- Reviewing the existing SSAS assets and removing references to the outgoing trustee
- Switching The Pensions Regulator accounts to company
- Dealing with property transfers
General SSAS Maintenance
- Liaising with SSAS clients
- Maintaining SSAS records on XPlan
- Dealing with information requests, including bank balances
- Transfers out
- Death of a member
- Change of SSAS trustee or sponsoring employer
- Change of addresses
- Setting up/renewing an LEI
- Assisting with VAT returns, for SSASs that are VAT registered
- Updating HMRC online and The Pensions Regulator with changes to SSASs
- Dealing with the establishment of a life policy in a SSAS
- Instructing disinvestments from client investment portfolios
- Assisting clients with the payment of invoices
- Maintaining fund split records
- Assisting with the completion of application forms for new SSAS investments

SSAS Invoicing
- Maintaining the invoice spreadsheet
- Requesting monthly invoices
- Checking SSAS bank balances and drawing up payment instructions
- Sending invoices out to clients
- Chasing unpaid invoices
Pension Scheme Returns
- Writing to clients to request data for pension scheme returns
- Liaising with accountants to prepare pension scheme accounts
- Analysing bank account transactions
- Collating data on our Scheme Accounts Template
- Submitting the pension scheme return online with HMRC before the deadline of 31st January
Member Crystallisations
- Dealing with client signed paperwork
- Valuing the SSAS
- Liaising with external payroll providers, to deal with income tax payments to HMRC and net income payments to client
- Liaising with Vintage Asset Management to disinvest and send funds back to the SSAS bank account, to cover income
- Dealing with payment instructions for tax-free cash and/or income
- Updating internal records

The Pensions Regulator
- Completing SSAS returns
- Updating client data when there is a change in the SSAS
- Setting up Direct Debits to pay the annual levy
Bank Account Maintenance
- Making changes to signing arrangements
- General bank account maintenance
- Setting up additional (savings) accounts
- Dealing with instructions for withdrawals on notice account
- Drawing up payment instructions and obtaining client signature
Property Purchase/Transfer
- Collating Property purchase questionnaire
- Liaising with Solicitor on all aspects of the transaction
- Checking the VAT position on the transaction and registering the SSAS for VAT if applicable
