About the Role
A key member of a nursing support team, this role focuses on:
- Administrative coordination (correspondence, memo formatting, proofreading)
- Staffing analysis (budget and compliance alignment with Missouri Department of Health and Senior Services)
- Payroll and scheduling responsibilities (including overtime, time-off requests, and absenteeism tracking)
- Data accuracy (billing, agency usage logs, confidentiality adherence)
- Team leadership (collaboration with supervisors, fostering an effective workplace culture)
You will work closely with Deputy Directors of Nursing (DON) and cross-departmental teams to address staffing challenges and enhance operational efficiency.

Key Responsibilities
Documentation & Communication
- Composes professional, error-free correspondence and memos within deadlines.
- Transcribes handwritten notes accurately.
- Formats and proofreads materials (reports, charts, meeting minutes, statistical data).
Staffing & Compliance Management
- Analyzes staffing budget data and Missouri health regulations to optimize shifts.
- Schedules employees compliant with minimum staffing standards, fire policy, and facility procedures.
- Tracks heather usage and billing accuracy; identifies discrepancies.
Payroll & HR Support
- Processes nursing department payroll via software.
- Handles schedule changes, earned time off, and overtime requests.
- Records tardiness/absenteeism, maintaining permanent personnel records.
- Assists with work-related documentation in compliance with privacy policies.
Collaboration & Leadership
- Promotes teamwork while delegating responsibilities in absence.
- Communicates effectively with residents, visitors, co-workers, vendors, and teams across departments.
- Partners with DON and staff leaders to resolve issues (e.g., scheduling conflicts, burnout prevention).

Qualifications
Education & Experience
- High school diploma or GED-equivalent.
- Previous computer experience (proficient in relevant software tools).
Essential:
- Staffing/scheduling expertise (mission-critical for nursing teams).
- Excellent interpersonal communication—empathy for patient populations is a plus.
- Demonstrable record of confidentiality and discretion.
Skills & Abilities
- Ability to manage time toward productivity targets.
- Manual dexterity and fine motor skills (required for written documentation/equipment tasks).
- Strong mathematical skills (for billings, time off tracking).
Compensation: $17.52 – $27.69 per hour
