Stores & Procurement Administration Assistant

Location: Belfast, Appledore, Methil, Arnish

Job Purpose

To support Central Stores administrative operations by handling paperwork, data inputting/completion and assisting in Procurement administration for a portion of the time.


Key Responsibilities

Administrative & Proccurement Support

  • Provide admin support for goods inwards/outwards, following Navantia UK processes.
  • Offer support to multiple departments and stakeholders for material control.
  • Assist with Quality and Health & Safety (H&S) documentation.

Stores & Procurement Duties

  • Handle queries from Finance, Procurement, Warehouse, and Suppliers.
  • Raise Supplier Non-Conformance Reports (NCRs) to support projects.
  • Input and maintain inventory in SAP, including stock levels, descriptions, and cost centres.
  • Generate and process overdue/incomplete order reports for escalation.
  • Assist with stock control and electronic record-keeping.
  • Support scheduled cycle counting, stock takes, and audits.
  • Ensure timesheet uploads for stores and procurement personnel.

Procurement Operations

  • Generate stores requisitions for inventory replenishment.
  • Assist with Work Orders for the Steel Stock Yard to ensure timely material delivery.
  • Support with Procurement SAP processes (PRs, reports, data input).
  • Manage vending machine administration, including reports, invoicing, and project codes.

Data & KPI Management

  • Help generate KPIs for stores activities.

Knowledge, Skills & Abilities

  • Strong organisational and planning skills.
  • Clear communication, interpersonal abilities, and team collaboration.
  • Attention to detail with minimal errors, multitasking under pressure.
  • IT proficiency (MS Office: Word/Excel, ERP systems like SAP).
  • Problem-solving and numeracy skills.
  • Ability to work under pressure, adapt to changes.

Qualifications & Experience

Experience

  • Desirable: Previous experience in a stores or procurement admin role.

Education

  • No specific degree required, but relevant experience or training preferred.
