About the Student Registry Service
The Student Registry Service, based in the Students' Union Building, delivers essential administrative functions to support students throughout their academic journey, including:
- Student registration
- Fees and funding processes
- Examinations, results and awards
- Transcripts and formal procedures (Complaints, Appeals, Discipline)
- Engagement, attendance monitoring & student support
The team works closely with faculties and academic departments to ensure consistent, high-quality service delivery.

Key Responsibilities
To support our mission, the successful candidate will:
- Provide outstanding customer service via multiple channels:
- Face-to-face interactions
- Live chat & telephone support
- Email & correspondence
- Respond comprehensively to student and staff enquiries, adhering to University regulations and GDPR.
- Collaborate effectively with team members to meet deadlines while maintaining accuracy and efficiency.
- Maintain student records in University IT systems, ensuring data integrity.
- Handle core administrative processes, including data input, records management, and digital communication.
- Demonstrate alignment with the Sheffield Professional Framework, fostering positive professional behaviours.
- Embrace ethical decision-making while embedding sustainability best practices in daily work.
- Attend departmental briefings and team meetings to align with objectives.
- Take on additional reasonable duties as required by the role.
Person Specification
Essential
- Experience in a customer-facing role, providing clear information and guidance.
- Strong customer service skills, including proficient handling of phone, email, and in-person enquiries.
- Excellent communication (written and verbal) with stakeholders from diverse backgrounds.
- Data input and processing experience across varied systems.
- IT proficiency: Experience using Microsoft Office (Word, Excel), email, and adaptability to new software.
- Strong interpersonal skills and confidence in engaging with different perspectives.
- Ability to work collaboratively and independently, delivering to deadlines while under pressure.
- Compelling organisational and attention-to-detail skills.

Desirable (Not Essential but Advantageous)
- Knowledge/experience of electronic student record systems in higher education.
- Awareness of GDPR and handling confidential information respectfully.
