Studio Manager

Drawn to the Light is seeking a self-motivated, organised Studio Manager with excellent communication skills to join our independent lighting design studio in London. This is a full-time role supporting our team, coordinating workflow and helping to ensure the studio operates smoothly on a day-to-day basis.

We’re particularly keen to hear from people with experience managing teams or studio operations, especially within the creative industries, although this isn’t essential. Above all, we’re looking for someone who is proactive, approachable and enjoys bringing structure and organisation to a fast-paced, collaborative environment. The role is based full-time from our East London studio.

Skills and Responsibilities:

  • Scheduling & Resource Planning: Coordinate studio workflow, working closely with the management team to allocate resources effectively, balance workloads and ensure projects are delivered on time.
  • Freelancer Coordination: Develop and maintain a database of trusted freelancers, coordinating bookings and onboarding additional resource as required.
  • Project Tracking: Maintain an up-to-date overview of all live projects, monitor progress against key milestones and facilitate weekly project status meetings.
  • Project Administration: Set up new projects and job numbers, ensure accurate timesheet completion across the team, and support the preparation of fee proposals and estimates alongside the design leads.
  • Studio Management: Oversee the day-to-day running of the studio and pre-visualisation suite, ensuring a welcoming, organised and well-stocked working environment. Maintain internal systems including holiday records, health and safety documentation and absence tracking, and coordinate office suppliers, contractors and facilities.
  • Travel & Logistics: Arrange business travel, accommodation, couriers and other logistical requirements.
  • Finance Support: Assist with expense processing, receipt collection and supplier invoice management. Support the Financial Director with invoicing and other day-to-day financial administration.
  • Team Support: Act as a central point of coordination within the studio, helping to improve communication, streamline processes and support the wider team in their day-to-day work.

  • Excellent organisational skills with the ability to manage multiple priorities and keep projects moving.
  • Strong communication and interpersonal skills, with confidence working alongside colleagues, clients and external suppliers.
  • A proactive, positive attitude and confidence to take ownership of tasks and solve problems independently.
  • Exceptional attention to detail and the ability to work accurately against deadlines.
  • Flexible & adaptable, with the ability to prioritise both your own and the wider team’s workload.
  • Experience managing projects, teams or studio operations, ideally within a creative or design-led environment (preferred but not essential).
  • A willingness to learn, embrace feedback and contribute to a collaborative studio culture.
  • Proficiency with Microsoft Office, particularly Excel. Experience with QuickBooks or similar accounting software would be advantageous, but is not essential.

This role will be reviewed every 12 months (6 months initially) to support professional development and ensure alignment with the evolving needs of the studio and the individual.
