Supplier Contracts Manager
Supplier Contracts Manager (Permanent - Full-time, Hybrid)
Location: Hybrid, with access to the Conscia office in Portchester Department: Finance Reporting to: CFO

The Role – Supplier Contracts Manager
The Supplier Contracts Manager is a newly established role reporting directly to the CFO. This position is responsible for establishing and operating a central supplier governance capability across Conscia UK.
Key Responsibilities
You will oversee supplier selection, contracting, onboarding, performance management, and lifecycle governance for:
- Technology vendors (e.g., Microsoft, Cisco)
- Professional services and support partners
- Telecommunications providers (e.g., Claranet, Vodafone, PXE)
- Facilities and general suppliers
Your duties include:
- Maintaining a central contract repository
- Defining preferred supplier coverage
- Running performance reviews
- Addressing supplier issues
- Embedding industry best practices
You will operate independently without direct reports and partner closely with the CTO team to ensure suppliers meet technical standards and adhere to Conscia’s Technical Supplier Onboarding Process.
Essential Requirements
- Proven experience in owning supplier contract management and governance in an IT or technology environment
- Hands-on experience with technology vendors, telecommunications, and third-party professional services contracting
- Strong commercial acumen, including experience in protecting margins and negotiating supplier terms
- Knowledge of building and operating supplier performance frameworks, including remediation processes
- Excellent stakeholder management and influencing skills across Sales, Finance, Legal, Service Delivery, IT, and CTO teams
- Highly organised and detail-oriented, with the ability to translate contract terms into operational and technical controls

- Familiarity with ITIL, third-party risk frameworks, and supplier security assessments

Success Measures
- Central contract database established and maintained with 100% critical supplier contracts recorded and renewal alerts active
- Preferred supplier coverage in place for all key categories, leading to demonstrable reduction in ad-hoc supplier usage
- Supplier performance improvement evidenced by:
- Increased SLA compliance
- Fewer incidents and reduced service credits
- Margin protection through reduced unmanaged scope and mitigation of margin leakage
- Onboarding controls ensuring gating checks prevent premature supplier use, with auditable evidence provided
- Governance cadence with scheduled supplier reviews and Quarterly Business Reviews (QBRs) completed on time
- Executive confidence through clear visibility and assurance of supplier risk posture and commercial viability
Core Responsibilities by Focus Area
Supplier Strategy & Preferred Supplier Framework
- Develop and maintain a preferred supplier strategy, including category playbooks for:
- Technology
- Professional services
- Telecommunications
- Facilities
- General suppliers
- Define selection criteria, commercial models, risk appetite, and preferred contracting approaches
- Collaborate with Procurement, Sales, Service Delivery, and Finance to ensure supplier choices align with margin, delivery capability, and strategic objectives
- Drive consolidation to preferred suppliers where it improves commercial leverage, operational efficiency, and service quality
Contract Lifecycle Ownership & Database
- Manage end-to-end supplier contract lifecycle, including selection, negotiation, execution, onboarding, renewal, and exit
- Create and maintain a central contract database, tracking:
- Contract terms
- SLAs
- KPIs
- Renewal dates
- Financial commitments
- Escalation contacts
- Standardise contract templates and mandatory clauses (SLAs, change control, warranties, indemnities, and exit terms) in collaboration with Legal
- Ensure contract metadata is searchable for ease of access by commercial, service delivery, and finance teams
Onboarding & Readiness Governance
- Design and implement a supplier onboarding framework with:
- Mandatory gating controls ensuring readiness before supplier use
- Cross-functional readiness checks with Service Delivery, IT, CTO, Sales Operations, and Finance
- Onboarding checklists and evidence packs for auditability
- Ensure Technical Supplier Onboarding Process is followed for all technology suppliers
- Engage the CTO team early in supplier evaluation and enforce technical acceptance as a required onboarding gate

Performance Management & Remediation
- Define supplier KPIs and scorecards covering:
- Delivery performance
- Quality
- Cost-to-serve
- Incident rates
- SLA compliance
- Responsiveness
- Conduct regular supplier performance reviews and Quarterly Business Reviews
- Lead escalations and remediation for:
- Contract breaches
- Service credits
- Margin erosion
- Collaborate with the CTO team to incorporate technical performance metrics and integration health into supplier scorecards
Commercial Oversight & Systems Mapping
- Validate supplier commercial models and accurate financial system mapping (including part codes, pricing rules, and revenue recognition in Netsuite)
- Monitor cost-to-serve and margin impact of supplier relationships
- Provide supplier inputs to deal qualification and pricing decisions, challenging assumptions that介入未计划风险或边际流失

Risk Compliance & Controls
- Ensure suppliers meet regulatory, security, and data protection requirements, maintaining evidence such as certifications and audit reports
- Conduct third-party risk assessments and embed mitigation actions and contractual protections
- Coordinate technical risk assessments with the CTO team, ensuring:
- Technical controls, access restrictions, or network segmentation are captured in contracts and onboarding evidence
Stakeholder Engagement & Influence
- Serve as the single point of accountability for supplier governance across the business
- Be a trusted advisor to the CFO and Executive Team
- Drive process adoption through stakeholder engagement, playbooks, and clear operating rhythms
- Provide timely, evidence-backed recommendations on:
- Renewals
- Escalations
- Supplier strategy
- Partner with the CTO team to:
- Ensure technical acceptance authority is respected
- Track and close technical actions before launch
