CB&I Supplier Onboarding & Compliance Coordinators

CB&I are seeking 2 Supplier Onboarding & Compliance Coordinators based in Aberdeen, UK.

Job Title: Onboarding & Compliance Coordinator

Main Purpose of Role:

The Supplier Onboarding & Compliance Coordinator will support the effective onboarding, registration, and governance of suppliers, ensuring compliance, data integrity, and efficient delivery of Supply Chain processes across CB&I Asset Solutions.

Key Accountabilities:

  • Manage the end-to-end supplier onboarding and registration process, ensuring all required information and documentation is obtained in a timely manner.
  • Engage with prospective suppliers to complete vendor registration requirements and liaise with internal stakeholders to obtain the necessary approvals.
  • Validate supplier information and ensure compliance with company procedures, governance requirements and client-specific obligations.
  • Register and maintain supplier records within CB&I Asset Solutions' ERP systems and associated databases, ensuring data accuracy and completeness.
  • Initiate and coordinate supplier due diligence and compliance screening activities, tracking approvals through to completion.
  • Monitor supplier due diligence expiry dates and support the renewal process to maintain compliance.
  • Compile, prepare and distribute Supply Chain documentation for review and approval, ensuring records are complete and auditable.
  • Produce regular reports and management information on supplier onboarding activity, registration status, due diligence compliance and outstanding actions.
  • Expedite responses from internal and external stakeholders to minimise onboarding cycle times and support project delivery requirements.
  • Maintain supplier master data and ensure ongoing integrity of supplier information across company systems.
  • Provide administrative and operational support to Purchasing and Subcontracts teams, including the creation of purchase orders and support with sourcing activities when required.
  • Assist with supplier performance, compliance and governance reporting as requested by the Supply Chain team.
  • Identify opportunities to improve Supply Chain processes, systems and ways of working, making recommendations to drive efficiency and standardisation.
  • Support departmental audits and compliance reviews by ensuring accurate records and documentation are maintained.
  • Build effective working relationships with suppliers, project teams and internal stakeholders to support successful Supply Chain delivery.
  • Ensure all Supply Chain activities preserve the Company's legal, commercial and ethical integrity and comply with applicable governance requirements.
  • Ensure all activities are undertaken in accordance with Company policies, procedures, Delegation of Authority requirements and client obligations.
  • Promote and demonstrate the Company's values, Code of Conduct and commitment to safe and ethical working practices.

The postholder is expected to comply with all Company Health, Safety, Environmental and Quality requirements, and act at all times in accordance with the CB&I Code of Conduct.

Problem Solving:

The role will require the individual to:

  • Proactively identify and resolve supplier onboarding, registration and compliance issues.
  • Monitor progress and expedite actions to prevent delays in supplier setup and approvals.
  • Provide accurate reporting and status updates to key stakeholders.
  • Identify risks, bottlenecks and opportunities for process improvement.
  • Prioritise activities effectively while maintaining accuracy and compliance with Supply Chain procedures.

Person Specification

Knowledge & Qualifications:

  • Understanding of Supply Chain & Compliance process
  • Knowledge of legal entity structures and the ability to accurately identify and differentiate parties involved in engagements
  • Possess communication skills to build confidence and influence various internal stakeholders
  • Knowledge of Microsoft Office and ERP systems (Excel, Power BI, Oracle, etc.)
  • Degree in Supply Chain Management and/or professional qualification (MCIPS, SCMP, CPM) or related subjects preferred.

Skills & Competencies:

  • Supply Chain & Compliance experience desirable
  • Ability to develop strong internal/external relationships
  • Highly motivated, driven and proactive who can interpret and constantly seeks to achieve solutions
  • Flexibility to comply and adapt to company and customer requirements
  • Actively promotes good business ethics.
  • Demonstrates a strong commitment to safety.
  • Good IT skills in MS packages and experience in specific Procurement system such as ORACLE, etc.
