We are presently recruiting a Supply Chain and Inventory Coordinator to join our Production Department, supporting our growth journey with continued success.
Role Overview
The Supply Chain & Inventory Coordinator oversees the precise and efficient flow of materials through the brewery. Their responsibilities span:
- Production scheduling support
- Raw material and packaging procurement
- Inbound goods quality checks
- Inventory management
- Stock reporting
- Contract brewing liaison
This is an operational role requiring strong attention to detail, excellent cross-functional communication, and a proactive problem-solving approach.
Key Responsibilities
1. Production Planning Support
- Maintain and update the short-term production schedule in collaboration with the Production Manager, ensuring:
- Confirmed presence of required materials, packaging, and resources before each production run
- No unexpected shortfalls due to supply lead-time or stock issues
- Flag any raw material supply risks, lead-time issues, or stock shortages to the Production Manager in advance, proposing solutions.
- Coordinate between Sales, Production, Warehouse, and contract brewing partners to ensure transparency and shared visibility of requirements.
- Monitor potential or existing finished product shortages against sales forecasts or orders:
- Inform all relevant stakeholders (e.g., Sales, Marketing, Warehouse)
- Provide clear timelines for resolution and support root-cause investigations
- Keep the brewery management system’s production schedule current and accurate across all stakeholders (Production, Packaging, Warehouse).
2. Raw Material & Packaging Procurement
- Raise and manage purchase orders (POs) for:
- Raw materials (e.g., malt, hops, process aids, adjuncts)
- Packaging (e.g., cans, kegs, casks, labels, cartons) Follow approved processes while aligned with production plans.
- Monitor open POs and proactively chase late deliveries; maintain accurate lead-time records for key suppliers.
- Ensure appropriate stock levels are maintained without over-ordering, adhering to FIFO (First-In-First-Out) principles and agreed par levels.
- Verify supplier receipts against POs; file certificates of analysis (COAs) and manage defect/return processes professionally and timely.

3. Inbound Goods Quality & Receipting
- Carry out (or coordinate) goods-in checks for all incoming raw materials and packaging:
- Confirm that deliveries meet specifications and quality standards.
- Identify and escalate non-conformities:
- Damaged goods
- Incorrect specifications or labellings to the Production Manager and Compliance Manager
- Maintain clear records of goods-in inspections to support traceability, HACCP compliance, and supplier performance monitoring.
4. Inventory Accuracy & System Management
- Maintain accurate stock records for:
- Raw materials
- Packaging materials
- Finished goods
- Agented beers
- Ensure pricing and cost entries in the inventory system are current.
- Own the weekly and monthly stock take process, including:
- Preparing count sheets
- Coordinating counts with Production and Warehouse
- Investigating variances
- Preparing reconciliation reports
- Ensuring documented adjustments
- Investigate stock discrepancies (e.g., mismatches between POs, goods received, supplier invoices) by identifying root causes and facilitating repairs with Production, Warehouse, and Finance to prevent recurrence.
- Track stock movements for accurate allocation between raw materials, work-in-progress (WIP), and finished goods.
5. Stock Reporting
- Produce regular reports on:
- Stock position
- Usage trends
- Stock ageing (especially for materials and containers) Highlight slow-moving or at-risk stock to the Production Manager.
- Track and reconcile volumes, stock values, and movements of agented beers:
- Monitor purchase vs. sales records for consistency.
- Support month-end stock valuation with Finance.
6. Contract Brewing Liaison
- Serve as the primary contact for contract brewing partners regarding:
- Production schedules
- Stock availability
- Inventory levels
- Forecast requirements
- Actively participate in weekly meetings with contract partners.
- Maintain accurate stock and forecast records for contract brewed products.
- Align with partners to:
- Ensure stock continuity
- Minimise shortages or surpluses
- Keep records on communications, production plans, reconcilations
What Success Looks Like
- The production schedule remains current, accurate, and shared; all materials are confirmed in advance of each run.
- Raw materials and finished goods stocks are within agreed-upon levels, with high stock availability % to minimise stockouts and order delays.
- Purchase orders are processed promptly, deliveries are monitored proactively, and materials never cause production stoppages.
- All incoming goods are inspected against specifications; isolated and resolved non-conformities occur quickly.
- Inventory records are trusted and accurate across all stakeholders; variances are investigated and annually resolved.
- Stock reports are produced on time, highlight actionable insights, and aid decision-making for the Production Manager and team.

Experience & Skills
Required:
- Experience in supply chain, purchasing, inventory, or production coordination, ideally within food, beverage, or FMCG manufacturing.
- Confidence using inventory or ERP systems (preferably brewery management software like Brewman).
- Strong attention to detail with a methodical process for reconciliation.
- Ability to communicate clearly and effectively across Production, Warehouse, and Finance teams.
- Proactive, organised, and capable of multitasking, prioritising, and flagging issues early.
Desired:
- Understanding of quality and food safety principles (e.g., HACCP, traceability, goods-in inspections).
- Basic knowledge of supply chain KPIs (e.g., stock availability %, lead-time tracking).

Location & Compensation
Location:
Old Market, Bristol. Full time: £33,000 per annum (dependent on skills/experience). Hours: 37.5 hrs per week (Monday–Friday), though part-time or flexible arrangements may be negotiated.
