McDonald’s Lease & Data Administrator – UK & Ireland

The Role
The Lease & Data Administrator plays a critical role in supporting our Development team across the UK & Ireland. You’ll be the guardian of our lease and property data, ensuring governance, compliance, and actionable insights—bridging estates, finance, and operational decisions.
This is your chance to deepen your property expertise, work in a fast-paced multi-site environment, and develop practical data-driven skills (e.g., dashboards, cost analysis, automation) that directly impact lease optimisation and cost control.
Key Responsibilities
1. Lease & Property Data Management
- Maintain accurate, audit-ready lease and property records—core systems (e.g., TRIRIGA) must be complete, consistent, and up-to-date.
- Track critical lease events (rent reviews, expirations, break options, renewals) and flag deadlines to minimise risk.
- Update and manage property master files, including:
- Landlord details & contractual obligations
- Ownership structures
- Asset ownership and usage rights
2. Financial & Cost Support
- Validate property costs (service charges, rates, insurance) against lease terms and industry benchmarks.
- Collaborate with Real Estate Accounts to resolve discrepancies in contractual liabilities and payment schedules.
- Review landlord charges, escalations, and billing discrepancies with legal rigor.
- Assist in Cost Challenge monitoring—resolving queries and recovering overcharges where appropriate.

3. Systems, Compliance & Governance
- Administer lease-related systems, from TRIRIGA to development portals (e.g., Aconex), ensuring security, updates, and audit trails.
- Archive documentation (leases, amendments, contractual correspondence) with proactive version control.
- Be the central point of contact for internal/external audits—ensuring slow-moving issues are resolved swiftly.
- Coordinate contract procurement, bid management, and tender submission with deadlines and governance compliance.
4. Reporting & Analytics
- Build and maintain regular reports on key metrics, including:
- Lease event timelines
- Cost trends by location/property type
- Portfolio performance indicators
- Develop/review visualisations (e.g., Power BI) to improve visibility across the estate.
- Provide data to franchises, suppliers, and HQ stakeholders—ensuring clarity and timeliness.
5. Stakeholder Coordination
- Serve as the lead resource linking estates, development, and finance teams for lease/data matters.
- Participate in cross-functional meetings—matching data with business needs and aligning stakeholders.
The Analytics Opportunity
This role is more than administrative—it’s a gateway to enhance how data drives decisions:
- Streamline reporting processes with automation, reducing manual effort and boosting data quality.
- Expand Power BI/Tableau dashboards to reveal trends and inefficiencies (e.g., cost escalations, lease spend).
- Use comparative analytics to:
- Forecast leasing cycles
- Identify cost-capture opportunities
- Optimise portfolio planning
- Investigate process gaps for efficiency improvements (e.g., invoice verification, user queries).
Who We Want to Hear From
Must-Have:
✔ Experience in lease administration, property records, or data-driven roles (property, finance, or real estate). ✔ Proper grasp of commercial leases—critical clauses, rent reviews, and financial structures. ✔ Attention to detail like a microscope: Obsessed with validation, accuracy, and governance. ✔ Exceptional organisational skills—Juggling multiple deadlines without dropping the ball.
