Support Secretary to General Surgery
Support Medical Secretary – General Surgery Team
About the Role
We are seeking to appoint a Support Medical Secretary within our General Surgery team at the Community Diagnostic Centre.
The ideal candidate will provide efficient and reliable secretarial support for the PRH site, working closely with our Gastroenterology and Breast teams. You will deliver a comprehensive support service with strong prioritisation skills, ensuring deadlines and targets are met consistently.
This is a critical role that involves providing essential administrative assistance to a busy medical team.
Key Responsibilities
- Clinical Support:
- Type written correspondence (letters, reports) from dictated recordings for the surgery team
- Maintain accurate and secure patient records, ensuring they are organised, accessible and confidential
- Reception & Communication:
- Field telephone calls, offering compassionate support to patients who may be fraught, anxious, or stressed
- Manage outgoing and incoming communications effectively, including faxing, emails, post, and appointments
- Administrative Co-ordination:
- Maintain electronic and physical filing systems, including databases in Microsoft Excel and Access
- Produce letters, presentations (PowerPoint), and reports (Microsoft Publisher/Word)
- Team Support:
- Co-ordinate administrative operations to ensure smooth workflow in the medical office
- Collaborate with wider teams, ensuring clear communication and task delegation

Core Skills & Requirements
- Technical Proficiency:
- Full proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Access)
- Ability to adapt to additional software as necessary
- Soft Skills:
- Strong ability to prioritise workload
- Exhibit independent decision-making with sound judgement
- Maintain strict confidentiality at all times
- Demonstrate diplomacy and empathy when dealing with patients or team members
- Experience:
- Previous experience in a medical or clinical support role is essential
- Prior experience in a mental health/breast/gastroenterology setting would be advantageous
