Support Services Administrator – CITB Birmingham (Bircham Newton)

Are you passionate about delivering exceptional customer service and supporting learners on their journey to success? CITB is looking for a proactive and detail-oriented Support Services Administrator to join our team in Bircham Newton, Norfolk.

About the Role

  • Job Title: Support Services Administrator
  • Location: NCC East, Bircham Newton, King’s Lynn, Norfolk, PE31 6RH Please note: This is a rural location with limited public transport
  • Working Hours: Full-time (35 hours per week)
  • Working Pattern: Monday–Thursday: 8:45am – 5pm, Friday: 9am – 4pm (5 days in the office)
  • Contract: Permanent
  • Grade: TM2
  • Salary: £28,784 per annum

In this dynamic role, you’ll be at the heart of our training operations, working across multiple teams to ensure smooth administrative processes and a positive experience for learners, colleagues, and visitors.


Responsibilities

Upheld by internal and external stakeholders depend-driven Working in collaboration with colleagues to create seamless workflows Ensuring appropriate coverage during absences Responding promptly and effectively to learner and colleague enquiries Upkeeping a genuinely positive and inclusive learning environment

Key Duties:

  • Provide timely and efficient customer service to internal and external stakeholders
  • Accurately manage administrative tasks, including learner registration, enrolment, qualification claims, and data updates, in line with awarding body requirements
  • Upload learner requirements to systems to enable progression to End-point Assessment (EPA) within set timescales
  • Operate internal and external systems in compliance with CITB, funding, and scheme regulations
  • Supervise and invigilate learner assessments and exams, ensuring compliance with regulations
  • Manage learners’ progression and VFM (Value for Money reports)
  • Ensure materials and resources are available and responsive in supporting training programs
  • Promote a safe, inclusive, and collaborative work environment
  • Flexibility: Be available to travel to other sites (e.g., Erith, Inchinnan) for training or meetings

Requirements

Qualifications & Experience:

  • NVQ Level 3 in Business Administration, Customer Service, or relevant equivalent experience
  • Minimum of 3 GCSEs (or equivalent), including Maths and English
  • Intermediate proficiency in Microsoft Office (Windows-based systems), with competence in Excel
  • Confident database user – previous experience with Aptem LMS is an advantage
  • Strong administrative, problem-solving, and organisational skills
  • Excellent communication and customer service skills
  • Experience in an educational or training setting is a plus
  • Understanding of construction training certification schemes is beneficial
