Surgery Inventory Coordinator – Inventory and Supply Operations

Job Description Summary
This position is accountable for coordinating the daily flow of surgical supplies, implants, and equipment for the Surgery Department, leveraging multiple inventory tools, including automated supply units, electronic handheld units, and an ERP system for perpetual inventory.
The role ensures:
- Procurement requests align with clinical and cost requirements
- Timely receipt of supplies meets customer and financial expectations
- Accurate computerized supply replenishment for owned, consigned, and same-day requested inventory
- Routine inventory management to maintain accurate financials and product integrity
A high degree of critical thinking is required to:
- Ensure the right supplies and services are available to support clinical operations
- React to both planned and unplanned requests for patient treatment
- Deliver optimal patient care through optimized supply chains
Key Responsibilities and Duties
📊 Daily Operations (60%)
Manages supply chains to support surgical operations, including:
- Owned, consigned, and loaner supplies, implants, and equipment
- Forecasting tools and ERP systems for order replenishment and inventory management
- Caseload fluctuations to maintain uninterrupted supply access
Detailed Tasks: ✔ Review product/package integrity and expiration dates for supplies and implants ✔ Ensure timely arrival and availability of new and replacement product ✔ Balance inventory through perpetual tracking while minimizing overstock/shortages ✔ Identify engaged stakeholders for resolutions to supply chain interruptions ✔ Assist clinicians in product/equipment trials by ensuring proper vendor adherence ✔ Handle product backorders, substitutions, and recalls:
- Return obsolete/recalled items for credit
- Check expiration dates and verify recall compliance ✔ Maintain routine/specialty supplies through:
- Adjusting supply par levels via handheld devices
- Managing inventory receipts and assisting with annual stocktakes
- Communicating remote/supplier unavailability to staff
- Developing cost-effective, efficient inventory systems
🔍 Problem Resolution & Maintenance (20%)
Resolves supply chain disruptions and operational conflicts: ✔ Collaborate with vendors, physicians, and logistical teams to navigate vendor backorders, substitutions, recalls, or failures ✔ Address payment/obligation alignment for received inventory ✔ Utilize critical thinking, clinical knowledge, cost analysis, and inventory methodologies to swiftly address both routine and non-routine challenges ✔ Resolve customer complaints while preventing recurring service failures ✔ Coordinate cart changes and replacements (both emergency and planned) in a timely manner

🤝 Customer Service (10%)
Fosters excellence in clinical supply chain service to underpin high-quality patient outcomes: ✔ Practice standardized preventative protocols for supply ordering ✔ Engagement in open communication with physicians, clinicians, and surgery staff to ensure right-product, right-place deliverability ✔ Act as the liaison for technology integration (e.g., supply/equipment upgrades) ✔ Provide timely follow-ups on inventory requests and contract renewals ✔ Assess process improvement opportunities in collaboration with Surgery and Supply Chain to reduce costs and improve efficiency

Minimum Qualifications
📌 Education: High School Diploma or GED
Core Competencies & Experience
🔪 Ranked as Minimum Eligibility (Basic Requirements)*
- Experience: At least 2 years in healthcare supply institution (or related healthcare sector)
- Tech Skills:
- Basic mathematics and computer literacy (spreadsheets, databases, ERP systems)
- Responsibility for financial impacts tied to supply chain decisions
- Soft Skills: Ability to work in an often-changing, transaction-heavy environment
- Communication: Proficient verbal and written skills
Specialized Knowledge (Preferred)
💡 Minimum Certification/Experience: 2 years in healthcare-related supply, procurement, or inventory management

- Exceptional medical supply experience (5 years) and procurement/inventory expertise (3 years needed)
- Java-uncannable Excel/Google Sheets proficiency. ERP system knowledge—a high positive + for Workday/EPIC entry familiarity
- Booking a meticulously uncalculatable sword for contracts or supplies beyond initial order
- Cultivation of accounting/financial literacy (understanding supply budgets, ROI of inventory*)
- Understanding introductive tiers of Surgical & healthcare logistics influenced by departments, nationally
