The Role

We're hiring a Systems & Automation Operator to build and improve the internal systems that keep SOS running efficiently as we scale.

This is a hands-on role. You'll be expected to build and improve systems directly — not just recommend ideas.

You'll work across ClickUp, automation platforms (Make, Zapier), and AI workflows to reduce manual work, improve consistency, and support our delivery teams.

You'll work closely with our COO and Delivery Lead to make sure systems solve real problems and actually get used.

What You'll Be Doing

Systems Ownership - Own and maintain ClickUp and internal systems. Keep everything structured, up to date, and genuinely used by the team. Improve clarity, consistency, and usability across all workflows.

Workflow & Process Development - Build and improve workflows across onboarding, delivery, and internal operations. Identify inefficiencies and implement practical fixes — simple, usable solutions over complex builds.

Automation - Build and maintain automations using Make, Zapier, and similar tools. Reduce manual admin, improve speed, and increase reliability across delivery and internal processes.

Delivery Systems Support - Support systems used for onboarding, campaign management, creative workflows, and reporting. Work closely with the Delivery Lead to keep systems aligned with how the team actually operates.

System Adoption & Compliance - Ensure the team uses systems correctly and consistently. Identify where processes are being bypassed and fix root causes, not just symptoms.

Integration & Infrastructure - Keep tools connected and information flowing between systems. Reduce manual handoffs and support integrations across platforms.

Problem Solving & Troubleshooting - Identify and resolve system-level issues independently before escalating. Improve reliability and reduce operational friction across the board.

Documentation - Document systems, workflows, and automations clearly. Support onboarding of new team members and ensure processes are easy to follow and maintain.

What We're Looking For

You don't need to tick every box, but strong candidates will have:

2–4 years in operations, systems, automation, or a similar role Experience in a startup, agency, or fast-paced environment Practical hands-on experience building or improving systems and workflows Working knowledge of tools like ClickUp, Make, Zapier, or similar Strong organisation and structured thinking Ability to work independently and deliver without detailed instruction Clear, practical problem-solving ability Strong bias for execution over deliberation

Nice to Have

Performance marketing or agency background Experience connecting tools via APIs or webhooks Exposure to AI tools and workflows beyond basic usage Experience working across UK & US teams or time zones

What Success Looks Like (First 3 Months)

Clear understanding of current systems and delivery workflows Key inefficiencies identified and improvement areas mapped 1–2 meaningful system or automation improvements implemented ClickUp structure actively maintained and improving Manual admin visibly reduced across the team Established as the reliable go-to for systems and process questions

Career Progression

This role is designed to grow as the business scales:

Systems & Automation Operator → Systems Lead → Head of Systems & Operations

Progression is based on ownership, impact, and ability to scale systems — not tenure.
