Systems Implementation & Coordination Lead
£38,468 per annum
Up to 2 years fixed term contract

St Anne’s Community Services is looking for a Systems Implementation & Coordination Lead to support the rollout and ongoing management of a new platform, covering time and attendance, rostering, payroll and HR.
This hands-on role is ideal for someone who enjoys practical delivery, working with teams and helping colleagues feel confident using new systems.
The Role
Reporting to the Project Lead, you will coordinate configuration, data migration, testing, training and go-live activity, working with the supplier, internal teams and managers to ensure the system meets policy, workforce and compliance needs.
After go-live, you will become the system coordinator and subject matter expert, supporting governance, user access, system changes, training, issue resolution and continuous improvement.
About You
You will understand workforce, HR or payroll systems and be confident working across rostering, time and attendance, payroll principles, data quality and permissions. Full rollout experience is not essential, but you must be organised, detail-focused and quick to learn.

Main Duties of the Job
Stakeholder Engagement
- Work closely with operational services, HR, payroll, finance, IT, senior leaders and external system suppliers to ensure the system meets organisational requirements and strategic objectives.
- Provide clear communication, updates and assurance to stakeholders throughout implementation and into business-as-usual operation.
Employee Relations
- Support managers and teams through changes to workforce processes and ways of working, ensuring colleagues understand system-driven requirements, responsibilities and impacts on roles, pay, compliance and working practices.

- Proactively identify risks, issues and areas of resistance during implementation and post-go-live, managing issue resolution, escalation and mitigation in line with agreed governance arrangements.

Detailed Job Description and Main Responsibilities
Ensure the system is configured to accurately reflect workforce life-cycle events, including starters, leavers, contractual changes and role changes, working closely with HR and payroll to maintain accuracy and compliance.
Performance Management
- Support managers with the effective use of system data and processes to improve workforce oversight, compliance, and operational efficiency, ensuring managers are confident and competent system users.
Data-Driven Insights
- Analyse system usage, data quality and feedback to identify trends, risks and opportunities for improvement, making recommendations that enhance efficiency, compliance and user experience.
Service Delivery
- Lead the practical delivery of system configuration, data migration, testing, parallel runs and go-live activities, ensuring milestones and dependencies are actively managed and services are operationally ready.
Change Management
- Design and deliver structured training and change enablement activity, including a train-the-trainer approach, role-appropriate guidance, user materials and ongoing support to embed new ways of working.

Organisational Development
- Act as system subject matter expert post-implementation, overseeing system governance, change control and optimisation to ensure ongoing alignment with organisational policies, regulatory requirements and workforce practice.

Experience
Essential criteria
- Experience of supporting or contributing to a system implementation or rollout
- Experience of working with external system suppliers or implementation partners.
Desirable criteria
- Experience of working with workforce, HR or payroll systems in an operational setting
