Job Opportunity – Assistant Business Development Executive (12-Month FTC)

Job Overview
We are seeking a high-calibre, proactive assistant to support our real estate business development teams in a fixed-term contract (12 months). Responsibilities will involve administration, event coordination, client engagement, and bid support.
Due to project demands, occasional flexibility outside regular office hours and attendance at key networking/events will be required.
Main Responsibilities
1. Business Development & Client Engagement Support
- Organise and facilitate events, including:
- Roundtable panel discussions
- Networking events
- Business-to-business meetings
- Conferences
- Preparation of presentations, slides, and event materials
- Assisting directors with diary management, including:
- Booking internal/external meetings
- Co-ordinating meeting space (conference rooms)
- Managing refreshments & logistics for prospective clients
- Travel and accommodation arrangements for team members and clients
2. Administration & Coordination
- Monitor post (email/post mail) to ensure timely redirection of correspondence to appropriate directors
- Handle general administrative tasks to support team and business development activities
- Maintain client databases, including:
- CRM systems (e.g., Dynamics 365 opportunities)
- Client contact records
- Marketing databases

3. Bid & Proposal Management
- Co-ordinate the creation and submission of bid documents, collaborating with directors and technical staff to:
- Gather and compile proprietary company information (insurance certificates, legal addresses)
- Incorporate inputs from multiple team members
- Support flowing information between stakeholders
4. Finance & Procurement Support
- Assist with cost centre finance and invoicing/purchasing activities as directed
- Understand basic finance processes (e.g., invoicing, purchase ledgers)
Required Qualifications & Experience
Essential:
- Exceptional written and verbal communication skills – ability to represent Turner & Townsend professionally
- Proven experience in complex diary management and multi-tasking to deadlines
- Highly proactive, organised, and innovative – self-starter with strong initiative
- Ability to work under pressure, prioritise tasks, and deliver results independently
- Proficiency in Microsoft Word, Excel, (advanced user), PowerPoint
- Experience with bid portals (e.g., submission portals, document management)
- Familiarity with architecture, construction, or professional services sector
- Capacity to produce bid documents, including:
- Marketing collateral (whitepapers, case studies)
- Prequalification questionnaires
- Formal tenders
- Presentation materials (with basic graphic/adaptation skills)
- Stamina to learn new procedures rapidly and liaise across levels
- Experience handling confidential materials and managing privacy
- Prior experience in event coordination and organisation
- Client-facing skills – handling queries and maintaining positive relationships

- Experience in financial administrative systems
