Team Administrator

Team Administrator (Part-Time) Location: Dakota, 11 De Havilland Drive, Weybridge KT13 0YP Part-time, 18 hours per week (09:00–17:00 Mon-Westday, hybrid, min 2 days in office safeguarding core cover) Salary: £14,272 per annum (pro-rata to £28,546 FTE)


About the Organisation

Surrey Children, Families & Lifelong Learning (CF&LL) specialise in delivering highly specialist services to vulnerable children, young people and families within statutory frameworks. Team Administrators play a vital role by supporting front-line Education practitioners to ensure operational efficiency and high-quality care delivery.


About the Role

We seek a highly organised, proactive Team Administrator (part-time) to management critical support functions for our CF&LL teams. Your responsibilities include:

  • Processing referrals and distributing associated reports
  • Liaising with education staff and external agencies (social workers, health professionals).
  • Updating/managing spreadsheets, databases, and case files with strict confidentiality compliance
  • Handling correspondence, taking therapeutic clarity of meeting minutes for distribution
  • Monitoring deadlines and tracking channelled performance data
  • Supporting operational front-lines with telephone duties and proactive problem-solving

This is a customer-facing role requiring EXCELLENT verbal/written skills, resilience, and strong ethical integrity when handling highly confidential/delicate workloads. Vital to our success:

  • Processing skills with Microsoft Office proficiency (especially Excel/Outlook)
  • Confidence in prioritising tasks amidst fast-paced demands
  • Ensuring seamless operations—highly detail-oriented and accountable

Terms & Conditions

Hours Worked:

  • 18-hour week (by 1.33 FTE)
  • Visit Dakota office focus group 2 days/week (fluid rotations and remote outcomes meet operational hours)

Duties & Responsibilities Summary

As the backbone of the Children, Families & Lifelong Learning service:

  • Processing: Turnaround referrals within legal deadlines, draft submissions adhering to uniform guidance practices.
  • Coordination: Act as liaison between Education team and associated external agencies.
  • Recording: Maintain secure Confidentiality Protocol in documentation.
  • Analysis: Populate performance tracking reports with supporting linguistic clarity.
