Team Assistant

Business Development & Client Services Assistant – London, EMEA Region

Location: London, UK Employment Type: Full-time Work Schedule: Monday–Friday, 9:00 AM–5:30 PM (4 days on-site weekly)

About the Role

The London office (established in 2015) serves the UK, Europe, and Middle East & Africa (EMEA), marking a key growth area for the firm. This position supports the EMEA Business Development & Client Services team while collaborating with cross-site teams—including Business Development, Client Service, Legal & Compliance (NY/Dublin), and European/UK Compliance.

Responsibilities

  • Coordinate client-facing activities, including:
    • Scheduling, communications, and preparation of client meetings, calls, and conference materials
    • Booking conference rooms, videoconferencing, catering
  • Oversee complex travel logistics for the team, spanning UK/EMEA, covering flights, accommodation, transportation, and itinerary planning.
  • Plan, coordinate, and execute client events, business development initiatives, and projects.
  • Develop, distribute, and track recurring client communications, such as:
    • Commentaries
    • Statement reports
    • Questionnaire responses
    • Open platforms (adhering to strict deadlines)
  • Internal liaison with stakeholders:
    • Sales
    • Compliance
    • Internal documentation in Salesforce
    • Gathering accurate data for marketing and business requests
  • Operational support:
    • Processing financial and legal requests
    • Managing team expenses via Expensify
    • Updating Salesforce records with requested data
  • Office administration:
    • Upkeep of office supplies
    • Postroom operations
    • Assisting with London office efficiency
  • Flexible backup support for the London team, aiding with ad-hoc tasks.

Requirements

Qualifications

  • Preference for a College Degree.
  • Clear preference for experience in financial services, specifically client reporting.
  • Demonstrates:
    • Exceptional emotional intelligence, sound judgment
    • Tenacious work ethic ability to anticipate needs and execute flawlessly
    • Adaptability to shifting priorities across-time zones.
    • Adaptability in a fast-paced environment.
    • Precision and follow-through for high detail-heavy activities
    • Interpersonal skills to manage multiple demands with diverse personalities

Technical Skills

  • Proficiency in Microsoft Office Suite (required for Outlook, Excel, PowerPoint).
  • Comfort handling extensive data and charts.
  • Practical travel and project coordination experience.

Working Conditions

  • On-site working: Required 4 days per week.
  • Remote days: 1 day per week.
  • Must proactively adhere to 9:00 AM–5:30 PM schedule (Mon–Fri).
