The commercial team is responsible for the end-to-end management of all procurement activities within the South African region, including Regional Category Management, Sourcing & Contracts, Project Procurement and Purchasing. The team works with regional business and Supply Chain stakeholders to implement and manage performance of contracts and suppliers, grow the host community supply base and ensure effective supply of goods and services required for operations

Job Description

As a Team Assistant at Anglo American, your role is to provide high-level executive and administrative support to the SVP, CFD & Commercial and CFO Crop Nutrients, while ensuring the smooth day-to-day operation of the wider team.

Performance & Delivery

  • Provide executive assistant support to the SVP, CFD & Commercial and CFO Crop Nutrients in relation to diary management, inbox, travel and expenses
  • Translating prioritisation into active management of diaries and related administration
  • Produce high quality documentation, presentations and reports in support of the SVP, CFD & Commercial and CFO Crop Nutrients as required
  • Manage internal and external events for the SVP, CFD & Commercial and CFO Crop Nutrients
  • Provide a diplomatic and courteous “first point of contact”
  • Liaise with peer Team Assistants and Executive Support teams to address scheduling conflicts that may arise and escalate any unresolved matters as appropriate
  • To provide PA and administrative support, not specifically referred to above as necessary

Investment Committee

  • Upload documents to Diligent online board paper site
  • Book meeting rooms, catering, equipment for Committee meetings
  • Send out meeting invites from Executive Leadership Team calendar.
  • Maintenance of Eureka (intranet) page for Investment Committee ensuring all details and links to documents are up to date.

Safety, Health & Environment

  • Take personal responsibility for safety of self and others to ensure zero harm and elimination of fatalities
  • Act as a role model and reinforce a workplace culture where safety and health for the site is paramount
  • Demonstrate behaviour in line with health, safety and environmental standards and with the Group’s values

Compliance

  • Ensure compliance with Anglo American requirements within function

Qualifications

Qualifications:

  • Good standard of general education
  • Degree qualification is highly desirable

Technical Knowledge:

  • Proven administrative experience in a global, large company environment across various geographies and team environments. FTSE and/or transactional experience highly desirable
  • Proven experience supporting senior executives and teams
  • Proven experience in complex travel itineraries, including visas, using a travel management company (online and offline)
  • Proven experience in procurement systems and processes and understanding of Supply Chain / Procure to Pay principles. SAP Ariba Guided Buying experience would be highly desirable, or other supply chain solutions
  • Proficient in MS Office, particularly MS Outlook and Teams
  • Proven experience in expense processing. SAP Concur would be highly desirable, or other expense processing systems

Technical Skills:

  • Demonstrate strong organisational skills with the ability to prioritise and multitask
  • Demonstrate excellent verbal and written communication skills with attention to detail
  • Demonstrate strong ability to manage conflicting diary demands from multiple stakeholders
