Team Assistant (Remote - one day in office)

Supporting the VP Finance & CEO

We are working with a tech business who as they continue to scale globally are looking for a highly organised, proactive Team Assistant to support their VP of Finance.

The Role

This is a varied and fast-paced role for someone who enjoys keeping things organised, supporting senior leaders and ensuring that people processes run smoothly. You'll work closely with the VP Finance while acting as the day-to-day coordinator for HR administration. You'll be a trusted member of the team, ensuring administrative tasks are completed efficiently and confidentially while helping new joiners feel welcome and departing employees experience a seamless offboarding process.

Key Responsibilities

Executive & Team Support

  • Provide proactive administrative support to the VP Finance.
  • Prepare meeting agendas, presentations, and documents.
  • Track actions and follow up on key deliverables.

HR Administration

  • Coordinate employee onboarding, ensuring contracts, documentation, and equipment are in place.
  • Manage offboarding activities, including access removal, documentation, and exit processes.
  • Liaise with our outsourced HR provider on day-to-day people administration.
  • Maintain accurate employee records and HR documentation.
  • Support payroll administration by coordinating employee changes and required information.
  • Assist with benefits administration and employee communications.
  • Coordinate mandatory training and compliance activities.

General Administration

  • Manage company documentation and filing.
  • Support internal communications and company announcements.
  • Assist with purchasing and invoice administration where required.
  • Help improve administrative processes and identify opportunities to increase efficiency.

About You

You'll be someone who thrives on organisation, enjoys working independently, and takes pride in delivering a high standard of support.

We're looking for someone who has:

  • Previous experience in a Team Assistant, Office Manager, or HR Administrator role.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • The ability to manage multiple priorities in a fast-moving environment.
  • A proactive, positive, and collaborative approach.
  • The ability to handle confidential information with discretion.
  • Experience supporting HR processes is highly desirable.
