Department Description
Secretarial Services is a core support department responsible for delivering a high-quality, consistent secretarial and administrative service to both internal and external clients.
Role Overview
As a Team Assistant, you will provide high-quality professional administrative support to UK Practice Groups’ Fee Earners and PAs. Key aspects of the role include:
- Working as part of the PA Support Team (PST)
- Spearheading administrative tasks assigned to your practice groups
- Training and development aligned with the firm’s Secretarial Competency Framework
- Exposure to operational rotations across practice areas for broader skill development
Key Responsibilities & Accountabilities
- Support administrative tasks across the PST and specified practice groups
- Collaborate with support teams on task handovers and coordination
- Build strong internal relationships with Fee Earners, PAs, and Business Services
- Utilise firm resources (e.g., reprographics, evening document support, global production)
- Understand administrative requirements across different practice groups and attend relevant training
- Support client confidence in professional services

Core Tasks
- Document Handling: Printing, scanning, and filing documents & emails
- Filing & Archive Management: Maintaining accurate filing systems and retrieval processes
- Document Creation & Amendment: Ensuring alignment with the firm’s house style
- Software & Processes: Practice group-specific systems and data entry in Excel/SOF
- Basic Billing & Admin: Supporting with billing, expenses, time recording, and ad hoc tasks
- Junior Lawyer Support: Post-induction, guidance via PA mentors (optional as determined by your manager)
- Problem-Solving: Use initiative to tackle issues, often leveraging support services
- Organisation & Prioritisation: Managing workload efficiently in a fast-paced environment
- Highlight workload gaps requiring team assistance
