Department Overview
Secretarial Services
Support internal and external clients with high-quality, consistent secretarial and administrative services. Both operational and client-facing in nature.
Role Overview
Provide professional administrative support to UK Practice Groups’ Fee Earners and PAs/Team Assistants, integrated within the PA Support Team.
Core Accountabilities
- Rotate across practice areas (every 6 months or as needed)
- Become fluent in firm systems/processes with full training support
- Align with our Secretarial Competency Framework for continuous development
- Progress-focused role: Initial focus on foundational admin → expanded responsibilities over time
- Client-first mindset: Build confidence in services delivered
Key Responsibilities
Core duties may adapt to business needs. Key tasks include:
- Collaborative admin: Oversee shared and group-specific tasks with due diligence
- Document mastery: Typing, editing, and archiving compliant with firm’s house style
- Practical support: Printing, filing, bureau assistance, and document creation
- Information systems: Excel data entry and document management tools
- Special projects: Compiling case filings, data organization, and resource optimization
- Training phased: Will assist mentored junior lawyers after early training

Typical Daily Tasks
- Booking: Travel/expenses/venue management for UK fee earners
- Secretarial operations: Deadline-driven document creation, production delivery
- Mentoring: Junior-lawyer absentee administrative support
- Office: Co-ordinate printing/storage (Reprographics), note-taking, files updates
- External: Co-operate with departmental systems for the firm’s 360° service

Strengths Required
- Core operational skills: Superior Excel, Outlook, and Microsoft Office proficiency
- Process mastery: Proven meticulousness when handling documentation
- Numeracy: Critical for data management
- Communication: Exceptional written and verbal skills across levels (including clients)

Experience & Qualifications
- Min qualification: 5 GCSEs (or equivalent, grades 9–4/4–C) in English & Mathematics
