About the role:
Join St. James's Place Management Services as a Team Assistant in London, UK. This outstanding opportunity allows you to be the central coordination point for our leadership team, ensuring smooth daily operations and flawless execution of administrative tasks.
What you'll be doing:
- Manage diaries for multiple collaborators using Microsoft Outlook, coordinating meetings and appointments.
- Schedule and respond to meeting invitations, ensuring relevant collaborators are included.
- Arrange meeting rooms, catering, and IT/AV requirements to support both in-person and virtual meetings.
- Prepare and distribute meeting agendas, papers, and notes as required.
- Maintain action logs and track follow-ups, supporting timely completion of agreed actions.
- Act as a first point of contact for visitors and internal queries relating to the team.
- Coordinate travel arrangements (primarily domestic, with occasional international travel if required).
- Prepare, reconcile, and process expenses in line with company policy.
- Support procurement processes, including raising purchase orders and processing invoices.
- Onboard new employees, suppliers, and contractors.
- Maintain team documentation, shared folders, trackers, and distribution lists.
- Support the planning and delivery of team events such as town halls, off-sites, workshops, and meetings.
- Assist with onboarding logistics for new team members.
- Support absence tracking, holiday approvals, and sickness reporting as delegated.
- Work collaboratively with EAs, Team Assistants, and Operations colleagues across the business.
- Provide flexible administrative support aligned to team priorities and business needs.
- Handle sensitive information with discretion and integrity at all times.

About you:
We are looking for an experienced Team Assistant. You are exceptionally organized and diligent, capable of managing complex diary commitments and associated tasks seamlessly. Your proven ability to support a busy leadership team and your ambition to contribute to a world-class organization will ensure your success in this role.
Essential Criteria:
- Proven administrative experience in a fast-paced environment.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office, particularly Outlook.
- Strong communication and interpersonal skills.
- Capacity to manage confidential information with care.
Desirable Criteria:
- Experience in an Information Technology setting.
- Familiarity with procurement processes and expense management.
- Previous experience supporting senior leadership.
