Team Coordinator
Team Coordinator – Transport Portfolio (North Region)

We are seeking a highly organised and proactive Team Coordinator to ensure our Transport teams operate efficiently and effectively. This role offers a dynamic environment where your coordination, communication, and organisational skills will directly impact team success and project delivery.
The Opportunity
This varied and rewarding role will see you play a key part in supporting the operational and governance needs of our Transport teams across the North. As the Team Coordinator, you will:
- Provide day-to-day coordination, ensuring smooth team operations and enabling our technical specialists to focus on delivering excellent client outcomes.
- Prepare high-quality documents, presentations, and communications in line with Arup’s branding, ensuring clarity, consistency, and professionalism through proofreading and editing.
- Support work-winning activities, including:
- Organising bids, pre-qualification questionnaires, and expressions of interest
- Coordination of documentation such as CVs, project sheets, and supporting materials
- Maintain essential organisational information, including:
- Microsoft Teams spaces
- Distribution lists
- Training compliance records
- Manage recurring business processes, such as team meetings, schedules, and reporting.
- Assist with travel arrangements for employees.
- Support new starters in their induction journey.
- Coordinate team and client-facing events.
- Act as a central point of coordination between North Transport leadership, stakeholders, and across the region.

- Drive efficient ways of working
- Share best practices in process improvement
- Contribute to digital transformation, including the adoption of tools like SharePoint, OneDrive, and Copilot.

Is this Role Right for You?
We’re looking for individuals who:
- Strong communication skills – Both written and verbal, with the ability to build positive, productive relationships across large, hybrid teams.
- Proven organisational skills – Ability to manage multiple priorities effectively in a fast-paced environment.
- Technical proficiency – Strong knowledge of Microsoft Office (particularly PowerPoint) and ideally:
- SharePoint
- OneDrive
- Copilot
- Collaborative and proactive mindset – Solutions-focused, growth-oriented, and eager to refine processes for continuous improvement.
- Discretion and professionalism – Can handle sensitive and confidential information with attention to detail and discretion.
Desirable but not essential:
- Experience within an engineering consultancy or large global firm.
- Familiarity with CRM systems.
- A Level 4 NVQ or equivalent administrative/secretarial qualification.
- Willingness to occasionally travel between North offices.
