Team Coordinator – North Transport Portfolio

Our North Transport Portfolio brings together multidisciplinary teams delivering some of the UK’s most significant transport and infrastructure projects across Leeds, Manchester, and the wider North region.

This is a critically important opportunity to join our North Transport Portfolio as a Team Coordinator. In this role, you’ll play a pivotal part in enabling our transport teams to operate effectively by providing day-to-day coordination, supporting operational, governance and project-related activities. You’ll help our technical specialists deliver excellent outcomes for clients while leveraging your organisational, communication, and collaborative skills.

This is an exciting opportunity to work in a dynamic, purpose-driven environment where your coordination, communication, and organisational skills will have a direct impact across multiple projects and teams.


Responsibilities

You will be responsible for:

  • Day-to-day team coordination, ensuring smooth operational activity across the North Transport Portfolio.
  • Preparing high-quality documents, presentations and communications that align with Arup’s branding, including:
    • Proofreading and editing content for clarity, consistency, and professionalism.
    • Supporting business-winning activities, such as bidding submissions (CVs, project sheets, supporting documentation).
  • Managing team workstreams, including:
    • Maintaining organisational information, Teams spaces, and distribution lists.
    • Tracking training compliance and recurring business processes.
    • Coordination of team meetings, schedules and travel arrangements.
  • Supporting new starters through onboarding and induction, including:
    • Representing the team at internal and client-facing events.
    • Coordinating project-related logistics and emberpoint liaison for technical delivery teams.
  • Working with Business Operations colleagues to:
    • Drive process efficiency by sharing best practices.
    • Contribute to continuous improvement through adoption of digital tools and technologies (including Microsoft Copilot, SharePoint, OneDrive).
  • Keeping responsive to tactical operational needs while fostering a collaborative, well-organised work environment.

Key deliverables:

  • Up-to-date government and travel requirements alignment (including mandatory eLearning).
  • Integration of digital-first workflow efficiencies for teams.
  • Streamlined reporting against key operational markers and supporting resources.

Requirements

Essentials

  • Excellent communication skills – Strong written (emails, reports) and verbal abilities.
  • Ability to build positive relationships across large, hybrid teams.
  • Highly organised, with a keen eye for detail to manage multiple priorities effectively in a fast-paced environment.
  • Proven Microsoft Office proficiency (especially PowerPoint), with familiarity or experience of SharePoint, OneDrive highly valuable.
  • Strong collaborative mindset, with a proactive, solutions-focused approach and a growth mindset ready to improve processes.
  • Ability to handle sensitive and confidential information with professionalism, discretion, attention to detail.

Desirable

  • Experience in engineering consultancy or large global organisation environments.
  • Hands-on CRM, Departmental EDM or project tool knowledge.
  • Formal qualification: A Level 4 NVQ or secretarial/administrative credential (equivalent).
  • Willingness to travel occasionally between Northern offices.
