Team Paralegal Assistant (Manchester) – Hybrid Role

About the Role
Our Team PAs play a vital role in ensuring our legal teams deliver an outstanding service to clients. Working across both Serious Injury and Personal Injury teams, you’ll provide high-quality administrative, organisational, and litigation support, ensuring cases progress efficiently, effectively, and in compliance with court and regulatory requirements.
This is a fast-paced, varied role, where you’ll collaborate closely with lawyers, legal teams, and business support colleagues to maintain high client service standards, manage matters accurately, and uphold ethical and procedural obligations.
Technology is central to how we operate. You’ll leverage legal case management systems, digital tools, and automation to streamline workflows, manage cases efficiently, maintain records securely, and identify opportunities to improve processes and productivity through technological advancements.
This is a hybrid role based in our Manchester office, requiring 1–2 office days per week.
Key Responsibilities
As Team Paralegal Assistant, you will:
- Provide comprehensive administrative and litigation support to legal teams across Serious Injury and Personal Injury.
- Manage legal files and documentation using case management and document management systems.
- Prepare, review, and distribute documents via electronic platforms (including DocuSign).
- Handle correspondence, telephone calls, and administrative requests in a timely and professional manner.
- Maintain diaries, coordinate meetings, and manage appointments while tracking key deadlines.
- Support case handlers with administrative and billable tasks, aiding in case progression.
- Prepare and distribute court and expert bundles, ensuring accuracy and completeness.
- Arrange client, expert, and stakeholder appointments along with associated logistics.
- Request, monitor, and manage medical, financial, and case-related records.
- Assist with court e-filing processes, hearing administration, and court listing arrangements.
- Process payments and manage financial administration, billing, and disbursement activities.
- Draft routine correspondence, including funding updates and client communications.
- Support reporting, data collection, and the maintenance of accurate management information.
- Assist with business development activities, events, and professional membership applications as needed.
- Conduct legal searches, arrange translations, and liaise with specialist internal/ external teams.
- Monitor and address audit findings, file reviews, and quality assurance tasks.
- Contribute to continuous improvement initiatives, identifying efficiency enhancements through technology, automation, and best practice methodologies.

Person Specification
We’re seeking a highly organised and professional Administrator with strong administrative skills and experience supporting legal or professional services teams. You’ll thrive in an environment where prioritisation, collaboration, and technological proficiency are key.
Essential Requirements
✔ Experience in administrative, PA, or team support roles within legal, professional services, or corporate environments. ✔ Proven ability to manage multiple tasks, prioritise effectively, and meet deadlines under pressure. ✔ Strong organisational skills with expertise in diaries, documentation, correspondence, and process administration. ✔ Excellent written and verbal communication skills, with proficiency in engaging with both internal and external stakeholders. ✔ Solid experience using Microsoft Office and business systems (case management/document handling) to streamline workflows. ✔ Ability to work collaboratively in a team environment while cultivating strong working relationships. ✔ Comfort handling confidential or sensitive information professionally and legally. ✔ Exceptional attention to detail to ensure accuracy in high-volume administrative and litigation tasks. ✔ Ability to identify issues independently, take initiative, and resolve administrative challenges effectively. ✔ A proactive attitude toward embracing new technologies (including digital/AI tools) to enhance efficiency and productivity.

Desirable
🔹 Experience within a legal environment, ideally familiar with Personal Injury or Serious Injury case processes. 🔹 Prior experience supporting litigation activities, court proceedings, or document bundles. 🔹 Knowledge of legal case management/document systems (e.g., Omnilaw, Summize) and electronic signing tools (DocuSign). 🔹 Experience with billing, disbursement management, legal aid processes, or court correspondence. 🔹 Familiarity with expense systems, financial/firm approval processes, and pro bono administration. 🔹 A contribution to process improvement initiatives or service excellence projects.
