Team Secretary

Job Overview

The Community Rehab Team are looking for an experienced and proactive Team Secretary to join the administration team based at Swn Y Coed, Wrexham, this is a band 3 full-time post Monday to Friday 9am to 5pm. The candidate will be enthusiastic, organised and highly motivated with excellent communication and interpersonal skills.

Main duties of the job

The Team Secretary Function Provides:

  • An accurate, confidential and supportive administration service for patients, clinical teams, carers and internal and external agencies in order to provide a safe and efficient patient pathway.
  • Support the delivery of a comprehensive high quality secretarial administrative service.
  • Accurately input and maintain the patient administration systems ensuring data quality at all times.
  • Take and transcribe minutes and process documents whilst providing clerical support for the team.
  • Capture and transmit information using electronic communication media, working to agreed protocols and standard operating procedures.
  • Work as part of a team whilst also working autonomously.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Essential Criteria

Qualifications and / or Knowledge

  • Good standard of Education including English and Maths
  • RSA/OCR stage 2 or equivalent qualification/experience
  • ECDL/Clait Plus or IT qualification or equivalent experience
  • NVQ Business Administration L3 or equivalent knowledge & experience, or willing to work towards

Desirable criteria

  • Audio Typing

Aptitude And Abilities

Essential criteria

  • Proficient in use of Microsoft Office applications
  • Ability to take and transcribe succinct minutes
  • Experienced in planning, organising and prioritising own workload
  • Flexible and adaptable to changing service demands

  • Medical terminology

Experience

Essential criteria

  • Knowledge of a range of administrative & clerical processes
  • Experience of working in a busy office environment
