Technical Administrator

Princes Cardiff is recruiting for a Technical Administrator to join our Cardiff team. Our Cardiff site is a centre of excellence for ambient, chilled, and mini fruit juice, producing 350+ differentiates varieties of products in a wide range of formats for both the Princes brand and customer own-brand contracts. We have recently invested over £60 million in our South Wales facility to:

Located in the Portmanmoor Industrial Estate with free parking, this site offers excellent transport links to the motorway and Cardiff City Centre!


About the Role

We are seeking an Administrator with a strong background in administration or a food/drink-related degree, looking to start or grow their technical career in a dynamic manufacturing environment.


Job Purpose

The Technical Administrator will:

  • Collate essential quality documentation, including:

    • Raw material specifications
    • Quality records
    • Finished product customer complaints
    • Acceptance of raw material ingredients based on Certificates of Analysis
  • Issue approved documentation to relevant departments.

  • Serve as the administrative hub for the technical team, ensuring operations comply with Food Safety, Legal, Integrity, Authenticity, and Quality standards.


Key Responsibilities

Core Operational Duties

  • Quality Record Management

    • Collate and document key production records to ensure easy retrieval.
    • Support traceability exercises by providing requested documentation within:
      • 2 hours for receipt/despatch documentation.
      • 4 hours for full traceability records.
  • Suppliers & Raw Materials

    • Obtain Certificates of Analysis from suppliers for all ingoing ingredients.
    • Verify raw materials against specifications and archive them accordingly.
    • Complete ingredient sleeve checks against approved documentation.

  • Tracing & Documentation

    • Collate and scan/archive delivery notes with delivery checks for records like:
      • Aromas, dry ingredients, and packaging.
    • Monitor and relay drum intake data to the technical department and drafting test batch tracking requests.
  • Document & Data Management

    • Maintain document control on SharePoint.
    • Support the Quality Systems Manager in:
      • Site recipe creation and updates.
      • Preparing Process Instruction (PI) sheets.
  • Regulatory Compliance

    • Maintain files for specialised products, e.g., Halal & Organic, to meet certification standards.

Support Functions

  • Assist the technical department as a dedicated administrative resource, including providing statistical data as requested.
  • Contribute to internal audits (e.g., GMP audits) as part of the company’s audit team.

Safety & Policy Compliance

Ensure adherence to policies and procedures to uphold Food Safety, Legal, Integrity, Authenticity, and Quality (FLIAQ) standards in production.


Flexibility Note

This role requires flexibility in working hours, particularly during audits and crisis situations.

Working Hours

Monday to Friday, 08:45 – 17:00 (onsite position in Cardiff).


Job Requirements

Essential

✅ Administration experience, preferably in manufacturing. ✅ Strong demand to work within technical operations. ✅ Attention to detail (demonstrate through prior roles). ✅ Analytical skills to perform basic calculations. ✅ Good time management and organisational aptitude. ✅ Excellent written & verbal communication for:

  • External customer relationships.
  • Internal departmental coordination.
  • Supplier communications. ✅ Self-motivated, with ability to work collaboratively in a team. ✅ Proficient in Microsoft Office and familiar with data input systems. ✅ Commitment to professional development and uptake of on-the-job training. ✅ Flexibility to adjust working hours during audits and emergency scenarios.

Desirable

🔹 Food/drink industry experience, ideally in manufacturing roles. 🔹 Familiarity with legal traceability and filing systems (alphabetical/numerical). 🔹 Previous record-checking and compliance roles. 🔹 Experience in Technical Departments managing product traceability. 🔹 Background in continuous improvement initiatives. 🔹 Hands-on experience with internal auditing and GMP compliance. 🔹 Any knowledge of food accreditation and customer quality standards. 🔹 A degree or certification in technical/compliance-related fields.
