Technical Administrator – Gateley Smithers Purslow

About the Role

The Role

The Technical Administrator will provide specialist support to the Executive Administration team and Administration Manager, ensuring all administrative requirements for their unit are met efficiently. The role demands strong organisational skill, time management, and the confidence to challenge processes where necessary. Proactive ownership and initiative are essential.

Key responsibilities include:

  • Managing audio transcription of long reports, drafting emails, and handling document scanning/photocopying.
  • Collaborating closely with technical teams to ensure project deliverables are met within agreed Service Level Agreements (SLAs).
  • Liaising with clients to deliver high-quality customer service.
  • Organising and filing all project-related paperwork.
  • Monitoring project progress and ensuring updates from technical teams are communicated within SLAs.
  • Processing incoming/outgoing project emails efficiently.
  • Managing client enquiries to adhere to SLAs.
  • Updating the Business Management System (BMS) with accurate data.
  • Answering telephone calls, taking clear, concise notes, and scheduling messages.
  • Arranging meetings and updating the team calendar (including site visits).
  • Supporting Senior and Executive Administrators where needed.
  • Compliance with company policies, including administrative procedures, personnel guidelines, and Health & Safety regulations.

The Person

We are looking for driven, organised, and adaptable individuals with the following attributes:

  • Strong proficiency in Microsoft Excel and Office Suite (Word, Outlook, Teams).
  • Experience handling customer calls, demonstrating exceptional customer care, clarity, and adaptability.
  • Proven experience in a multi-faceted administrative environment.
  • Ability to liaise across departments and manage external stakeholder communications.
  • Fast, accurate typing (audio/touch) skills – evidence of at least 50 wpm Audio Typing is advantageous.
  • Enthusiastic, committed, and quick to learn in fast-paced settings.
  • Tech-savvy and proficient in data management tools.
  • ** Outstanding time management and organisational skills** to prioritise diverse workloads.
  • Self-motivation with a collaborative mindset—strong teamwork and independence.
  • Exceptional communication skills (verbal and written), with an ability to manage client queries at all levels.
