Balfour Beatty UKCS Scotland is looking for an organised, proactive and detail-focused Tender Enquiries Administrator to join our Work Winning team based at our head office in Eurocentral, Motherwell.
This is an excellent opportunity for an ambitious administrator to play a key role in supporting the bidding and tendering process for a diverse portfolio of major construction and infrastructure projects across Scotland.
Working closely with Estimators, Bid Managers, Procurement teams and Supply Chain Partners, you will help ensure the efficient administration of tender enquiries, subcontractor communications and pre-construction activities that support the successful delivery of winning bids.
What you'll be doing
As a Tender Enquiries Administrator, you will provide essential administrative support to the pre-construction and estimating teams by coordinating tender enquiries, maintaining supply chain databases, tracking responses and ensuring all documentation is issued accurately and on time.
You will be at the centre of the tendering process, helping to build strong relationships with subcontractors and suppliers while contributing to the successful delivery of high-quality, competitive bids.
Key Accountabilities
- Prepare and issue tender enquiry packages to subcontractors and suppliers.
- Maintain and update approved supply chain databases.
- Track, record and monitor tender enquiry responses.
- Liaise with subcontractors and suppliers to ensure timely submission of quotations.
- Support Estimators and Bid Teams with the administration of tender activities.
- Maintain accurate records of pricing returns and correspondence.
- Assist in the evaluation and comparison of subcontractor quotations.
- Prepare reports and schedules relating to tender returns and supply chain engagement.
- Manage electronic filing systems and ensure documentation is stored in accordance with company procedures.
- Coordinate meetings and communications with internal and external stakeholders.
- Support procurement activities during pre-construction and tender phases.
- Ensure confidentiality of commercial and pricing information.
- Assist with the preparation and submission of bid documentation where required.
- Provide general administrative support to the pre-construction function.

Who we're looking for
Essential
- Previous experience in an administrative, coordinator or support role.
- Excellent organisational and time management skills.
- High level of attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office, including Excel, Word and Outlook.
- Ability to manage multiple tasks and deadlines simultaneously.
- Strong data entry and document management capabilities.
- Ability to work effectively as part of a team.
- Positive, proactive and professional approach to work.
Desirable
- Experience working within construction, engineering, utilities or infrastructure sectors.
- Knowledge of tendering, estimating or procurement processes.
- Familiarity with document management systems and tender portals.
- Experience dealing with subcontractors and suppliers.
- Understanding of construction terminology and commercial processes.
- NVQ, HNC or equivalent qualification in Business Administration or a related discipline.
