Job Summary

Controls daily operations of transportation department. Plans, organizes, and directs all guest and employee transportation needs to include actively selling to groups, coordinating off-site parking and shuttle requirements. Evaluates, plans, purchases and maintains all required equipment to include company’s fleet of vehicles. Prepares and manages department budget. Maintains and manages vehicle fleet according to state and federal Environmental Protection Agency (EPA), Department of Transportation, and Occupational Safety and Health Administration (OSHA) regulations to include vehicle registration, airport and city permits, preventive maintenance services and disposition of vehicles from other departments within the company.

Candidate Profile

Education and Experience

  • High school diploma or GED; 5 years experience in fleet transportation management, maintenance and scheduling.
  • OR
  • 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; 1 year experience in fleet transportation management, maintenance and scheduling.

Core Work Activities

Maintaining Guest Services and Transportation Department Goals

  • Manages, coordinates and schedules all transportation needs of guests, associates, and other company entities for complex, airport and other off property routes.
  • Coordinates, sets pricing for and provides billing of transportation services with sales, convention services, clients and other departments within the company.
  • Actively engages in selling services to groups to ensure maximum profitability.
  • Prepares capital budget to identify equipment needs to ensure equipment (e.g., bus fleet, mini-Buses and Suburbans) is replaced or upgraded as necessary.
  • Reviews and monitors parts inventory and requisitions.
  • Develops specific goals and plans to prioritize, organize, and accomplish work.
  • Handles complaints, settles disputes, and resolves grievances and conflicts; negotiates with others.
  • Develops weekly schedule for all staff members to perform functions required based on projected business levels.

Implementing Projects and Policies

  • Prepares, reviews and conducts, if necessary, proper fire evacuation plans and hazardous material spill plans and reports.
  • Manages vehicle maintenance in accordance Occupational Safety and Health Administration (OSHA), Environmental Protection Agency (EPA) and Department of Transportation (DOT) guidelines.
  • Obtains, maintains and processes annual renewal of permits from local governing bodies.
  • Implements the customer recognition/service program, communicating and advocating the process.
  • Creates daily work routines including stand up meetings and monthly department meetings.
  • Develops annual budget with both revenue and cost projections. Develops 6-period projections based on upcoming group business.
  • Monitors drivers compliance with the laws of The Federal Motor Carrier Safety Regulations.

Managing Exceptional Customer Service

  • Supervises the Transportation Leads to ensure the front drive car and Suburban service provides optimum guest service for all guest transportation needs including VIP and Celebrity airport arrivals and departures, and Sales and Familiarization Tours (FAM) trip transportation needs.
  • Provides services that are above and beyond for customer satisfaction and retention.
  • Improves services by communicating and assisting individuals to understand guest needs, providing guidance, feedback, and individual coaching when needed.
  • Supervises the quality, standards and meeting the expectations of the customers on a daily basis.

Managing Transportation Team

  • Participates in traffic flow planning for the property during high traffic times due to conventions or special events.
  • Manages the full service garage facility that performs comprehensive maintenance on all of the property’s vehicles including coach vehicles.
  • Utilizes interpersonal and communication skills to lead, influence, and encourage others; advocates sound financial/business decision making; demonstrates honesty/integrity; leads by example.
  • Encourages and builds mutual trust, respect, and cooperation among team members.
  • Serves as a role model to demonstrate appropriate behaviors.
  • Understands employee positions well enough to perform duties in employees' absence.
  • Maintains a positive employee workplace environment.

Managing and Conducting Human Resources Activities

  • Conducts human resources actions such as hiring, training, reviewing, disciplining and terminating employees.
  • Maintains all DOT/Driver files for all drivers of company vehicles.
  • Appraises employee’s productivity and efficiency for the purpose of recommending promotions or other changes in status.
  • Provides for the safety and security of the employees or the property.
  • Monitors employee attendance and records absences/tardiness.
  • Helps direct supervisors to achieve their own development goals.
  • Conducts annual performance appraisal with direct reports according to Standard Operating Procedures.
