Procurement & Operations Administrator

Location: Filton, Bristol

Contract:

  • Full time, 37.5 hours per week
  • Fixed term, 1 year

About the Role

Testia Limited is seeking a Procurement & Operations Administrator (permanent, Professional level) to support their Quality Management System team in ensuring smooth procurement and operational workflows.

The role combines analytical and administrative responsibilities within a dynamic environment with clear potential for development within the engineering, manufacturing, logistics, or quality-controlled sectors—particularly within industries like aerospace or NDT (Non-Destructive Testing).


Responsibilities

Procurement Duties

  • Administer the Know Your Supplier (KYS) process, including:
    • Requesting supplier information
    • Conducting risk analysis and supplier screening using the ADIT tool
    • Maintaining the approved supplier list and serving as the point of contact for supplier logistics
  • Assist in supply chain quality audits, ensuring all records and traceability documentation are readily available for review
  • Attend and contribute to global Testia Supply Chain calls and review meetings as appropriate
  • Track and update master data in the ERP system (SAGE X3 or similar) for new suppliers
  • Oversee the goods receipt process, ensuring deliveries are:
    • Accurate
    • Logged
    • Routed correctly to the assigned departments

Operations Admin Duties

  • Process sales orders and generate delivery notes accurately within the ERP system
  • Arrange and track:
    • Internal/external training sessions
    • Certifications
    • Compliance renewals for team members
  • Support deployments by:
    • Organising travel, accommodation, and site access for inspectors/operators
  • Manage office stock to prevent disruptions, including:
    • Stationery replenishment
    • Workwear allocation
    • Daily consumables (to maintain operational continuity)
  • Handle ad-hoc administrative requests and delegated tasks to support both operations and management teams

** Essentials & Desirables

Essential Attributes

  • Education: Good general education level
  • Fundamental skills in English and Math
  • Proven experience using ERP systems for:
    • Data entry
    • Order processing
    • Inventory management
  • Strong time management and organisational abilities
  • Proficiency in:
    • Microsoft Office suite
    • Google Workspace tools
    • ERP systems (SAGE or similar)
  • Prior experience in a customer-oriented setting

Desirable Qualifications

Experience or passion for:

  • Using AI tools, basic scripting, or low-code/no-code platforms (e.g., Google AppSheet) to streamline routinelves
  • Administrative or supply chain roles within contexts such as engineering, manufacturing, logistics, or quality-controlled industries (e.g., aerospace, NDT)
  • Foundational knowledge of:
    • Workplace safety
    • COSHH (Control of Substances Hazardous to Health)
    • safe manual handling
