Role Description
This is a full-time, on-site Trainee Paralegal / Legal Assistant role based in Edinburgh. The Trainee Paralegal / Legal Assistant provides paralegal and high-quality administrative support to the Conveyancing and Equity Release teams. The role contributes to the efficient administration of transactions for clients across Scotland and provides some additional administrative support for the Edinburgh office.

- Clean Level 1 Disclosure Scotland (which our firm will obtain for the successful applicant)
- Experience in a legal environment, particularly conveyancing or Equity Release would be an advantage
- Familiarity with Amiqus or similar ID verification tools would be an advantage
- Knowledge of Registers of Scotland processes would be an advantage
- Experience with case management systems would be an advantage
- Willingness to learn, work collaboratively, and maintain confidentiality and high ethical standards.

Responsibilities and Tasks
- Onboard client information to the firm's database
- Check Registers of Scotland to identify the correct Property Register
- Prepare and issue welcome letters to clients
- Request and monitor Amiqus ID verification
- Order title deeds when required
- Scan and file documentation accurately within internal systems
- Meet and greet visitors, offer refreshments and ensure a professional client experience
- Check Lender Exchange and LMS to upload information and download offer of loan documents from UK lenders
- Issue letters to Trust clients
- Create registration forms for submission to the Registers of Scotland
- Manage registration email acknowledgement and chase outstanding applications
- Phone HMRC for client ID numbers
- Order redemption statements from UK lenders
- Manage your own diary to ensure outstanding actions are chased
- Collect and deliver DX at the Exchange in Rutland Square each morning and evening
- Open, sort and distribute Royal Mail internally each morning
- Frank outgoing mail for Royal Mail collection at 4.30pm
- Monitor and maintain stationery levels
- Manage the Reception email inbox, directing or forwarding emails to the appropriate team members
- Make outbound calls to clients – welcome call, booking meetings, providing updates and confirming completion
- Order ‘letters of no sums due’
- Draft discharges and send to lenders
- Order plans reports
- Prepare documents for client meetings
- Book meetings and update calendars
- Provide updates to brokers via email or phone
- Submit advance notices
- Prepare fee notes, final statements and postings for the Finance Team
- Issue completion documentation
- Send client feedback requests
- Issue title sheets and deeds
- Assist in ad hoc documentation preparation or call-handling

Salary
£30,000 per annum
Hours of Work
Monday to Friday, 9am to 5pm, in our central Edinburgh office
