Job Summary
We are seeking a motivated and detail-oriented individual to join our Payroll team as a Trainee Payroll Administrator. This is an excellent opportunity for someone looking to start or develop a career in payroll within a dynamic and supportive environment.
Reporting to the Payroll Manager, the position will be key in providing a professional and efficient payroll service to GRAHAM’s employees and managers. The Trainee Payroll Administrator will primarily:
- Provide financial administrative support to UK and Ireland employees, including:
- Accurate entry and processing of timesheets
- Expenses management
- Handle general departmental administration
- Serve as a key point of contact for payroll-related employee queries
Comprehensive on-the-job training in all aspects of Payroll will be provided in-house, along with professional body courses when necessary.

Job Description
The Trainee Payroll Administrator will primarily be trained on:
- UK payroll systems and legislation
- Weekly payroll processing and timesheet management
- Payroll software and internal systems used across the business
- Data entry, accuracy checks, and reporting with extensive use of Excel
- Handling employee enquiries in-person, over the phone, and through virtual channels, while:
- Providing payroll support
- Proactively chasing required information
- Confidentiality and data protection best practices (GDPR)
- Preparation for professional qualifications, including CIPP accreditation

This job description is intended to outline the role for the Trainee Payroll Administrator and the range of duties to be undertaken. Specific tasks and objectives will be agreed with the post-holder at regular intervals.
Personal Specification
Essential
- Strong foundational IT skills, with good working knowledge of Microsoft Office and confident, competent use of Excel
- Strong attention to detail and excellent organisational skills
- Ability to take responsibility for progressing work independently while asking for clarification when required
- A genuine interest in payroll, finance, or administrative work
- Ability to meet tight deadlines and manage workload efficiently
- Effective communication skills—written, verbal, and virtual
- Adaptable and flexible, able to adjust to new processes and changes in a fast-moving environment
- GCSEs in Maths and English at grade C or above (or equivalent)
- Awareness of GDPR principles and the importance of protecting personal data
- Flexibility to travel occasionally across the UK and Ireland
Desirable
- Previous experience in a payroll or finance-related role
- Confident use of digital systems, with the ability to:
- Learn payroll and HR software
- Communicate effectively through platforms like Microsoft Teams
- Knowledge of HMRC Payroll legislation
